Event Specialist

This position is full-time and allows for working from home. Applicants must permanently reside in the Jackson, WY area and be able to attend client meetings, site inspections, events, etc. as they arise.

Summary

The Event Specialist is a hybrid role supporting the Sales, Proposal Development and Event Production functions for a select segment of the business meeting specific criteria. While this is an independent and self-reliant role, the Event Specialist will be working in collaboration with our clients, suppliers, and as needed, internal PRA teams to develop and deliver events that exceed our clients' expectations.

Primary Responsibilities

Sales Functions:
• Salesforce entry and maintenance including revenue, gross profit, and probability updates
• All aspects of client account management and thorough communication
• Facilitate client discovery and lead qualifying calls
• Generate and maintain Proposal Request Form
• Understanding of how to decipher the overview of a client's program, where there are opportunities for DMC services, and the best service options to propose.
• Coordinate itinerary of and attend site visits as needed
• Proposal review with client
• Ability to close business and work in a fast-paced environment

Proposal Development Functions:
• Develop initial client proposal, following PRA's standard process, while utilizing existing destination assets whenever possible
• Review and complete all revisions as needed until finalization
• Responsible for the development of quote details, costing and pricing in alignment with program development vision, sales and creative strategies, and client specifications.
• Supplier outreach for availability, pricing, etc.
• Maintain program Financials, including costing, client invoicing, etc.
• Research, develop and maintain business relationships with supplier partners and vendors
• Work with Experience Design team, as needed, for further proposal development

Operations Functions:
• Schedule client planning meeting, or attend pre-con meeting as invited, to finalize all program details and logistics
• All aspects of supplier/venue management including negotiations, contracting and logistics confirmation
• Develop on-site Staffing Plan
• Create Program Production Packet for onsite execution plan and distribute to staff as required
• Manage all aspects of program financials, including processing supplier invoices and creating and finalizing invoices for client distribution
• Manage all aspects of onsite execution, ensuring client satisfaction and repeat business

Qualifications
• Bachelor's degree, or equivalent relevant experience, or a combination thereof
• 2 years of experience in overseeing the execution of corporate meetings, client events, and other complex programs with DMC, corporate incentive travel, hospitality, or related experience highly preferred
• Excellent interpersonal and communication skills
• Ability to analyze and interpret client proposal requirements, contracts, financial reports, and other legal documents
• Ability to effectively present information and respond to questions from clients, supplier partners, and hoteliers
• Ability to multitask and work on multiple programs with different deadlines
• Ability to work well with all levels of management and staff, hoteliers and venue staff, clients and supplier/partner.
• Working knowledge of attractions, hotels, parks, venues and supplier/partners in the local area and ability to locate and vet new venues and supplier/partners
• Must be able to work flexible hours including weekends, evenings and holidays
