Vacatureomschrijving
• Owns all office related maintenance, maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
• Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making... necessary adjustments.
• Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
• Owns the invoice approval process to ensure all invoices are appropriately approved.
• Bank account and credit card reconciliations.
• Processing payments.
• Processing and recording of employee expenses.
• Monthly client invoicing.
• Ad hoc financial reporting as needed.
• Processing payroll, and maintaining employee schedules.
• Managing the employee life cycle from onboarding through to offboarding, including benefits administration.
• Organizing office events and employee recognition.
• Organizing Trade shows adhering to budget, briefings and timelines.
• Arrange for business travel and accommodation when necessary.
• Provide administrative support as required.
• Professionally interacts with clients and alliance partners.
• Translate documents from English to Portuguese, and from Portuguese to English
Functie-eisen
• Bachelor's degree in Administration, Accounting
• 2 to 5 years' experience in international companies.
• Proficient in English and Portuguese written and spoken, French is a nice to have.
• Operates with a large degree of autonomy and independently completes high quality work to meet established goals.
• Handles highly sensitive and confidential information requiring a high level of discretion.
• Proactive in anticipating and responding to team's needs and manage multiple priorities in a highly organized manner.
• Good judgment and analytical skills.
• Excellent written and communication skills.
• Strong time management and organizational skills, with the ability to multitask.
• Solutionoriented, responsible, flexible, proactive and with resilience skills.
• Attention to detail.
• Flexibility and adaptability.
• Advanced skills with MS Office Products. In particular, Outlook, Excel, and PowerPoint etc.
