For our offices in Vienna (in a hybrid working model) we are right now recruiting for an

Associate Manager, Affiliate Finance (f/m/d) - fixed-term maternity leave cover until Jan2025

- we´re flexible to fill this role in full-time or part-time schedule (min. 30h/week)

About the role

The Associate Manager, Affiliate Finance (f/m/d) is a key member of the Austrian Finance team and supports in all Finance related tasks within the affiliate while closely collaborating with an international shared services team. In addition, the Associate Manager, Affiliate Finance (f/m/d) supports in local office management topics (like fleet management / time tracking) and reports to the Head of Finance, Austria.

What you´ll do
• Contact person for FSS and local team
• support FSS regarding coding, accounting; month-end, POs, reconciliations, MarkView approvals
• support local team in case of analysis and questions regarding finance topics
• Analysis, budget controlling... contribution to budgeting and forecasting
• update and send bi-weekly sales report
• upload OTL (bi-weekly)
• budgeting & forecasting of G&A fees and participate in fees & services budget
• upload data into system (Hyperion)
• support local team with expense tracking (budget tool, cost overview)
• Maintain T&E, time tracking and absence management in local tool (dpw) / support HR
• check and finally sign-off travel expenses of the Austrian staff and submit them to the payroll provider for tax purposes and payment
• set-up new hires in the tool
• manage absence time in the tool (sick leave, vacation)
• check time recording and send out to managers
• do reports (e.g. for holiday accrual)
• Reconciliation of accounts
• check account reconciliations from FSS on a quarterly basis
• monthly check of PO overview (coding, receiving, PO closure)
• Performing of reviews (monthly closing call, quarterly balance sheet review)
• prepare and upload data (volume, revenue) in P&L Flux sheets
• participate in the monthly closing call
• prepare quarterly overview memo
• review quarterly balance sheet review schedules (prepared by FSS)
• give an update according to the overview memo during the meeting
• support in case of deeper insight
• Contact person for local tax consultants / VAT declaration
• fill via FinanzOnline
• prepare payment request (VAT monthly, KU and KÖSt quarterly)
• Support preparation of local annual statements
• deliver data to EY for annual filing (related to statutory reporting and direct tax)
• align with EY and FSS (questions, detailed information)
• prepare and send statistical reports to Austrian authorities (monthly, quarterly and yearly)
• Finance training
• introduce new employees to the finance department and processes
• introduce to policies (commercial/ global purchasing, pass-through costs, company cars, T&E)
• introduce to T&E, time tracking and absence tool
• Fleet management
• coordinate company cars (new employees, new orders, returns)
• align with leasing providers
• Participate in projects (e.g. SMS) and events (e.g. PHARMIG events)..

Qualifications
• Bachelor’s degree or other equivalent commercial education
• Minimum of 3-5 years of experience in accounting in an international, matrix environment
• Fluency in oral and written English
• Solid MS-Office, Oracle and Hyperion knowledge
• Familiar with US GAAP/Austrian tax
• Knowledge of cost- and project accounting
• Knowledge of employment law (working hours, collective agreement).

Minimum annual gross salary of 55.000,00 €, depending on qualification and experience willingness to overpay
