PA / Office Manager

We are recruiting for an experienced Personal Assistant/Office Manager to join the busy Brisbane office of a multi-disciplinary engineering and project management firm. As the Personal Assistant/Office Manager you will directly support two Regional Managers, assume responsibility for the smooth running of the office (approx. 40 people), and provide project admin... and general admin support to the broader team. You will manage one administrator however the team is likely to expand, which will see you recruit for a receptionist and possibly another administrator in time.
PA to the Regional Managers. Your role is to provide top-notch PA service to the two Regional Managers. This ranges from calendar, diary, and travel management through to screening calls, coordinating meetings and email inbox management You play a critical role in ensuring the RMs are effectively always supported, and you operate and communicate with high levels of initiative and integrity.
Facilities / Office Management. Your role is to ensure the office is running as it should be, taking ownership of and resolving any issues that crop up: whether it’s coordinating tradies to fix the aircon, handling urgent repairs or dealing with external suppliers and vendors – you have it covered.
Project & General Administrative Support. Your role is to ensure you and your team are providing high level project and general administrative support. You provide direction of daily operations, actively assisting and directing the team and always lead from the front: you roll your sleeves up and jump in where needed, providing absence cover and/or overflow administration support.
What experience do I need?
Your career background is highly administration focused and you have held similar EA/PA-style roles for a minimum of 3-5 years.
You understand the world of project management, cost centres, proposals, bids.
Industry experience would ideally include consulting, professional services or engineering.
Previous people leadership experience is desirable.
You are resilient, confident and don’t sweat the small stuff.
You are mature and capable and understand how to build trust with your team and stakeholders through your actions, behaviours and style.
