The Warehouse Manager is responsible for overseeing Ninja Van’s third-party warehousing and fulfilment operations in Malaysia; which are key... activities in our end-to-end logistics value chain. This is a very hands-on role, and the right candidate should have experience in a management or supervisory role within a warehouse, and be held accountable for overall warehouse operational performance and improving performance over time

Responsibilities
• Manage end-to-end warehousing and fulfilment operations, ensuring that the warehouse runs smoothly and at peak efficiency by supervising, organizing, directing, and training team of warehouse associates and establishing, monitoring, and managing operational goals;
• Ensure all B2B and B2C orders are fulfilled (picked, packed and dispatched) accurately within the agreed SLA
• Review and prepare workflow, manpower and space requirements, equipment layout, and action plans while ensuring productivity, quality and customer service standards are met.
• Participate in warehousing design, establish and implement warehouse management procedures, quality control processes and various indicator systems, be responsible for the KPI of warehouse operations
• Implement and improve the warehouse's rules and regulations, standardize operating standards and processes, allocate human resources reasonably, and monitor each job on the warehouse site; improve work efficiency, plan budgets, and reduce costs
• Use a system software to keep records, edit, and manage the inventory flow in the fulfillment center
• Manage arrangements with internal and external delivery partners to ensure that orders are dispatched on time and accurately to customers
• Optimize warehouse operations via continuous improvement and implement cost saving measures
• Work with internal stakeholders including product team, regional operations, project, business development teams to ensure that system and process gaps are flagged, and that process changes are implemented effectively in the warehouse
• Develop and execute on project-based, ad-hoc solutions arising from client requests (e.g. campaign sales picking)
• Communicate policies to Associates and act as the primary information source for the team, maintain compliance, consistency, and taking corrective action when needed
• Maintain a safe and healthy work environment by establishing, following, and enforcing standards and procedures and complying with legal regulations
• Ensure the warehouse operates at peak efficiency by managing end-to-end warehouse operations (receiving, inbound, putaway, picking, outbound)
• Ensure all B2B and B2C are fulfilled (picked, packed and dispatched) accurately within the agreed SLA
• Familiar with warehouse management systems; use a system to manage warehouse
• Ensure results of all warehouse activities are properly logged into the system
• Monitor system for issues and errors by warehouse staff, and resolve/escalate where necessary
• Responsible for managing and maintaining all goods in storage - reconciliation of data in system to on-ground inventory
• Manage day-to-day operations, including, but not limited to
• Support all customer requests and requirements to achieve service level targets
• Execution of operational tasks as and when needed, and implementing corrective actions where necessary
• Manpower allocation and supervision of task completion
• Primary information source for the warehouse team - communicate policies and maintain compliance and consistency
• Maintain a safe and healthy work environment by establishing, following, and enforcing standards and procedures and complying with legal regulations
• Conduct training for warehouse assistants on latest processes

Operational Evaluation
• Gather and interpret qualitative and quantitative data in order to identify operational issues and gaps, and provide solutions to improve efficiency and adherence to service levels
• Monitor and review workflow, manpower and space requirements, equipment layout, consumables usage while ensuring productivity, quality and customer service standards are met
• Ensure that process documentation and training materials are updated as needed

Process Design & Improvement
• Participate in warehousing design, establish and implement warehouse management procedures, quality control processes and various indicator systems
• Continuously shape and improve existing warehouse operational processes with industry best practices,e.g. quality improvements, efficiency and process optimisation, cost reduction,
• Operational excellence; assess current warehouse operations and suggest improvements to better manage warehouse utilisation, inventory handling and storage processes

Performance Tracking & Reporting
• Establish, monitor and manage operational goals/KPIs for performance tracking and improvement
• Develop, prepare and present reports (daily, weekly, biweekly, monthly and/or ad hoc) to effectively convey operational performance
• Assist in budget planning and cost tracking

Stakeholder Management & Reporting
• Manage 3PLs/delivery partners for both inbound and outbound processes
• Work with internal stakeholders including product team, regional operations, project, business development teams to ensure that system and process gaps are flagged, and that process changes are implemented effectively in the warehouse
• Monitor warehouse performance with regular reporting and reviews for management purposes

Ad-hoc Project Execution
• Identify and scope operational requirements for ad-hoc client requests to build/execute customised project-based process flows
• Set up new warehouse / warehouse relocation

Requirements
• Degree or equivalent, ideally in Logistics and Supply Chain Management
• 3 - 5 years of operations management experience, preferably in logistics/supply chain industry
• Prior experience in a warehouse working on logistics operations
• Understanding of B2B/B2C warehousing and fulfilment as a service
• Proficiency in English (Written & Spoken)

• Willingness to work hands-on in a warehouse and help out with on-ground warehouse processes

Core Competencies
• Proficiency in Microsoft Office (Word, Powerpoint, Excel) and Google Workspace (Docs, Slides, Sheets, Forms)
• Knowledge of key WMS functionalities would be preferred
