OVERVIEW:

Provide Facility Management expertise and services to oversee and manage multiple EU and UK facilities. Responsible for the offices being fully operational, maintained, safe and supported locally and by corporate. Act as liaison... and sustain active communication between all stakeholders to ensure corporate standards, programs and objectives are met and implemented while also adapting to some local requirements.

Accomplishes organization goals by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments. Work independently and proactively critical support to building operations, building improvement activities and respond to urgent building incidents.

Here are some of the EXCITING things you’ll get to do (RESPONSIBILITIES):

Overall responsibility for the operation and management of the sites.
• Develop a cadence of being on site and visible on a consistent basis.
• Develop supportive and effective relationships with office leads, support staff and identify primary contact for office interaction.

Budgeting and metrics
• Develop and maintain annual operating budgets for utilities, repairs, maintenance, cleaning, supplies, coffee program, security, health and safety. Interface with local office and corporate office as budgets are developed.
• Participate in annual capital planning.
• Track space capacity, headcount and occupancy monthly.
• Prepare reports by collecting, analyzing, and summarizing data and trends.

Facility Management- building related.
• Develop relationship and interface with landlords on all local building issues.
• Ensure local offices also have relationships and understand procedures for working with the landlord.
• Vendor Management
• Maintain office systems and operations by contracting with vendors for ongoing routine maintenance services, cleaning, and repairs and day to day issues.
• Ensure site has sufficient vendor services to support the entire office. Source the right vendors to make the space as efficient/ safe/ productive as possible. Develop plans based on the individual site needs.

(electrical, data cabling, HVAC, general carpenter are examples of primary requirements)
• Work with local energy suppliers and other services providers on scope and contracts, to ensure SN has optimal coverage & service in our space, at the best possible price, security.
• Conduct site visits and inspections; recommend solutions to occupants involving sensitive and ongoing issues and help drive solutions on site.
• Respond to building emergencies and oversee remediation work to restore building operations.
• Develop internal process for requests and responses.
• Work with EHS associates on maintaining and updating the health and safety on site and developing emergency procedures.

Facility Management- supporting occupants of the site.
• Act as liaison and local consultant to assist corporate when planning a new office. Provide operational input to ensure site design incorporates required spaces and amenities to support the operations of the building and the business. Assist in coordination with the local site during this time.
• Assist local team in setting up and maintaining office operations, mail, cleaning, supplies, coffee, security, EHS.
• Also act as liaison between local and corporate for ongoing occupancy issues and small site modifications throughout the year.
• Anticipate and respond to complex customer service requests; assess customer satisfaction; and improve existing processes.
• If seat assignments/space planning help is needed- it should be provided.
• Work with EHS associates on maintaining and updating the health and safety on site and addressing any wellness concerns and programs.
• Lead, organize, and attend meetings with consultants and stakeholders as required.
• Develop standards for supply orders and ensure orders are placed.
• Work within existing standards and budget order furniture, signage etc .
