Our client, a well-stablished company in the transport and logistics sector is looking for highly organized candidates with good quantitative ability for the position of fleet manager.
As a fleet manager, you will responsible for assisting in the recruitment of quality drivers into the fleet, maintaining detailed records of vehicle servicing and inspection and scheduling regular vehicle maintenance to ensure operational efficiency, among other duties.
Moreover, fleet managers will need to discipline drivers who are not making efficient use of their time, requiring excellent leadership and decision-making skill.
Salary & Benefits:
USD 3 000 – USD 4 000 plus a company car.
Responsibilities:
• Allocate trucks to contracts in relation to available loads versus available trucks and other contracts’ needs.
• Liaise with clients to ascertain available loads and agree with client on loads the fleet can handle at any time.
• Liaise with depots to ensure efficient movement of traffic... between towns/countries.
• Maintain computer programs in operation related to your fleet (Data Tim Tracking and daily/monthly fleet reports)
• Manage tracking, turnaround and delays daily
• Plan on specific schedules for timely haulage of clients’ cargo.
• Prepare any management reports as requested by MD on monthly basis.
• Debrief and finalise all trips through DataTim. This means the signing off of the completed load ensuring the capture by your staff of all the relevant details of each trip- revenue, kilometres, fuel , tolls and breakdown costs.
• Ensure that the Fleet runs to optimum kilometres monthly
• Ensure the trip is tracked correctly using the Sendem /Mix tracking system.
• Monitor overall fleet variable costs per kilometre daily – fuel, tyres , tolls and Driver costs.
• Have a knowledge of the target revenue per unit per month at the required rate per kilometre to achieve a profit.
• Attain monthly fleet trading accounts expectations and analyse trading and profit and loss monthly and be able to report on the achievement or otherwise of the profitability of the fleet.
• Monitor fuel consumption for each truck on a daily basis as noted in the course of each trip debrief.
• Conduct route and profitability performance analysis
• Submit detailed comprehensive report on losses to Depot Manager
• Ensure Data Tim is updated daily for the debriefing of all the loads for the day
• Submit weekly productivity report (revenue versus kilometres run) to Depot
• Manager.
• Prepare the monthly performance report for the monthly management meeting for your fleet.
• Prepare a yearly COF & Services maintenance schedule ensuring even spreading of these through the year.
• Liaise with Workshop Manager/Foremen on the Maintenance (COF) schedules as well as on running repairs, signing all orders for work to be done.
• Ensure that defective running trucks are urgently repaired and released
• Check that all repair and maintenance (R&M) reports sent you monthly for discrepancies in the allocation, ensuring that expenses allocated your fleet are legitimate and correctly allocated.
• Ensure that all trucks have valid license discs and COF discs and the requisite equipment.
• Ensure all tyres on trucks and trailers are checked frequently for the company brand numbers and a check-list is produced-(checks to be done each time a truck comes in for fuelling), and that changing thereof is done as and when necessary.
• Prepare daily Fleet Status and update Workshop foreman on the same
• Allocate duties to Controllers and supervise them daily
• Ensure that Controllers captures trip sheets in time to allow timely billing of clients as well as timely real time debriefing of drivers for effective Fleet Management.
• Ensure that all the proof of deliveries (PODs) are obtained for all loads done.
• Ensure the Controller has done his orders (repair orders, cash orders and fuel orders) in time for timely despatches.
• Ensure that the Controller is up to date with equipment issuance, upkeep and records for each truck concerned and that drivers actually have the equipment they signed for by checking on the equipment inventory and periodically checking inside vehicles.
• Check that staff register for the fleet is updated daily
• Check POD register to ensure it is up dated
• Authorise renewals of any documentation for trucks within the fleet.
• Check that driver files are updated as regards renewals of Defensive Driving Certificates, Driver retest, Medicals etc
• Plan on driver requirements and driver-truck allocations.
• Liaise with HR Manager and Training School on driver recruitment and actively participate in the process.
• Ensure that drivers observe Company rules and regulations as well as those of our Clients.
• Debrief drivers on completion of each trip check and signs off trip reconciliations and authorise invoices
• Authorise drivers subsistence allowances due and ensure these are paid when due.
• Ensure that appropriate disciplinary measures are taken against any Drivers who may be in breach of the set rules and regulations.
• Ensure that drivers are well informed on Company procedures in the event of an accident and that all serious accidents are professionally evaluated and the report vetted and signed off by you to ensure necessary corrective action is taken.
• Follow up with Administration Manager to ensure that appropriate claim has been made to Insurance, if required.
• Ensure that all shortages/damages are reported on and evidence produced of the appropriate action taken.
• Encourage performance improvements and involve all staff with driver management and asset care.
• Monitor driving hours of the fleet in terms of the law.
• In general terms, get to know all your drivers and trucks intimately, and be able to manage your drivers to their best.
• Maintain regular liaison with Depot Management at all levels on relevant matters
• Attend daily operations meeting with workshop
• Attend Management meetings as scheduled
• Attend Monthly safety meetings
• Ensure safety issues are emphasised on every driver debrief
• Any other duties as may be assigned
Key Skills:
• Ability to operate a P/C and be familiar with Microsoft office suite
• Must be smartly presentable as well as mature, friendly and willing to help others.
• Must have good communication skills both written and verbal.
• Must have good organizational and planning ability.
• Must be able to work without constant supervision
• Thorough understanding of basic accounting principles needed
• Effective man management abilities of up to 25 people
• Business acumen skills and experience
Qualifications:
• At least 5 ‘O’ levels to include English Language and either Mathematics or Accounts.
• A Diploma in Transport Management, or Transport Logistics
• A degree in Business Studies or other relevant field will be an added advantage.
• 3 to 5 years of experience in the transport industry is required
