The Role
Job Purpose: Assuring highest quality of office services performed in a timely and professional manner, having direct impact on Employee Value Proposition for the center. Purpose and Accountabilities:
• Supervising and measuring service performance against contracts and agreed targets, supporting improvement activities where needed and providing assurance to Facilities Manager on service integrity/compliance issues
• Organizing tactical and operational supplier performance reviews while adhering to Real Estate contract performance management standards, following implementation of RE tools and strategies
• Weekly site walk around to observe any HSE issues in the facility, updating in Planon.
• Intervene in case of any HSE violation.
• Building and maintaining relations with various internal and external stakeholders including building owner, local authorities, suppliers, staff, IT, HSE, CP, RE global services teams and local business representatives
• Providing office... operations and food services expertise to the site team and local business
• Managing local RE budgets (SERP system administration, issues resolution, cost monitoring and planning), MI monthly reviewing and reporting, submitting estimates to budgeting process
• Coordinating team relocations and office space standards based on space planning strategy in co-operation with RE Facilities Manager
• Preparing and implementing site plans for sustainable development improvements: e.g. waste reduction, energy management, CO2 footprint for the center
• Acting as a Facilities Manager back-up role (in absence and when required)
• Collaborating with CP department on suppliers' monitoring & benchmarking, participating in tendering processes
• Leading and/or supporting selected RE projects (both local & global) in agreement with business needs, budget, timelines, communication and HSSE requirements
• Acting as local Business Continuity Response (BCR) lead, assuring adequate management of BCR processes, ensuring effective implementation of operational and communication processes during a crisis/BCP situation, ensuring annual BCR testing and developing a training plan according to global standards
• Ensuring proper records management processes are in place according to corporate guidelines and local business requirements
• Ensuring compliance with HSSE-SP control framework requirements for contractor management in food services area (HACCP, FDWSG) and conduct food safety inspections and audits
• Involving in changing the menu, suggestion to improve the quality of cafeteria food and ensure cafeteria operations is take care as required.
• Ensuring the application and implementation of Ethics and Compliance, ABC and SGBP principles for managed contracts.
• Update required data for monthly report as per the format circulated by the reporting manager.
• Manage and facilitate the process of space requests and space assignments and make recommendations and decisions regarding space assignments within his/her delegated authority and which are in accordance with the overall master plan and long-range space plan.
• Responsible for the management of campus space information by using software and manual processes to create meaningful and often complex reports from raw data regarding the use of space on campus and compare such use with industry best practices.
• Provide support and expertise to review space issues.
• Collects and reviews requests for space; prepares and oversees preliminary space analyses and makes recommendations to fulfill these requests.
• Conducts audits of campus space and makes recommendations regarding the re-utilization and reassignment of space.
• Develops metrics and guidelines for the assignments of space
• Recommends modifications to space policies and procedures
• Review & ensure that all the necessary documents are in place at the time of any internal or external audits.
• Review Monthly consumables and forward the requirements to the Procurement team. Ensure that sufficient stock is always maintained at site and the inventory updated at all times
• Ensuring BCP site readiness in terms of office services support.
• Review cost comparatives and analysis on monthly basis and report to site Facilities manager.
• PR creation in the SEPR system for business requirements. Vendors bill processing and updating expenses tracker
• Cost tracking and updating of cost & expenses report on monthly basis.
• Tracking vendors bill processing and updating expenses tracker.
• Logistic support for all EVP visits to SBO Chennai in coordination with the host of the visitor.
• Involving in changing the menu, suggestion to improve the quality of cafeteria food and ensure cafeteria operations is take care as required.
Dimensions: Site: Shell Business Operations Chennai
• Managing a scope of 3 buildings occupied by over 3600 staff including 2 canteens, 11 pantries and 2 café's (~3000 hot meals/day capacity)
• Managing employees with no direct line responsibility, namely over 300 contractors in Compass, GFMP partner
• Managing an annual budget of USD 4 millions (Opex)
Skills and Requirements
• University degree(Bachelor degree)
• Proven experience of working as a Cafe Manager, Hotel Manager, Hospitality Industry or a similar role
• Ready to work in shifts
• Exceptional customer service skills
• Extraordinary communication and organizational skills
• Experience in project management, contract management, office administration or customer services
• Language skills: English and local language (Read, Write, and Speak)
• Ability to communicate and co-operate in complex business environments (mixed processes, teams, demands, BCP/crisis scenarios)
• Ability to self-organize, responsible, taking ownership for all duties
• Ability to self-motivate with drive to achieve and implement change
• Willing to work in a team, enhancing teamwork values
