Summary

Serves as an Administrative Assistant in CDC’s Division of Global Migration and Quarantine (DGMQ). As such, is responsible for providing administrative support activities to DGMQ. In addition to clerical duties, the administrative support services shall include but not limited to, providing personnel and human resources consultation activities.

Essential Duties And Responsibilities

Includes the following (other duties may be assigned):
• Coordinate meeting logistics to include, but not limited to schedule rooms, send out meeting invites, prepare and file agendas, and take meeting notes/minutes for routine meetings.
• Manage scheduling the Division Director’s calendar for all appointments and meetings based upon knowledge of availability, workload, and critical issues. Notify the Director of appointments and provide briefs on matters to be considered before the scheduled meeting. Reschedule appointments as needed.
• Coordinate and provide assistance with the travel orders/bookings for domestic and international travel arrangements using the Concur Travel System.
• Coordinate with internal and external partners to schedule meetings and negotiate complex travel logistics for efficiency related to attending conferences, speaking events, site visits to partner offices, reverse site visits from partner offices, seminars, visits of congressional delegations, and other meetings and events that require attendance at, participation in, or the input from members of DGMQ senior leadership
• Compose and distribute DGMQ Announcements and emails to all DGMQ staff or specified audiences.
• Monitor, track, and communicate statuses regarding incoming requests to the DGMQ Announcements inbox
• Create and manage Zoom Pro and Basic accounts credentials for DGMQ staff.
• Perform regular and ad hoc inventory checks to provide recommendations for purchasing and assist in identifying, ordering, and tracking office supplies and equipment.
• Manage multiple tracking systems to track and maintain files regarding work requests using CDC systems.
• Act as conference room back-up POC to aid with scheduling and other duties as needed.

SUPERVISORY/MANAGEMENT AUTHORITY
• No supervisory/management authority.

EDUCATION And EXPERIENCE
• Requires an Associates’ degree, Bachelor’s degree or higher preferred.
• Minimum of 3-5 years of administrative experience.
• Concur travel system experience required.
• CAMS system experience required.
• TASNet system experience required.
• VSTS system experience required.
• Office procurement experience required.
• Executive calendar management required.

Knowledge, Skills And Abilities
• Proficient in Microsoft Office applications
• Ability to manage multiple high-priority assignments
• Possess excellent communication and organizational skills with the ability to multitask, set priorities, and meet deadlines
• Ability to successfully pass a federal background check and a drug screen
• Cherokee Federal employees are included as covered employees in U.S. Presidential Executive Order 14042, which mandates Covid vaccines for federal contractors. Executive Order 14042 is currently blocked from enforcement pending court proceedings. Therefore, Cherokee Federal is halting the application of the mandate; however, if the injunction is lifted, Cherokee Federal will restore administration of the vaccine requirement.

WORK ENVIRONMENT
• Work is conducted in a climate-controlled office environment.
• The environment may require prolonged sitting, prolonged standing, and light lifting up to 20 lbs.
