We have an exciting opportunity for a Legal Secretary to join our Dispute Resolution TMT team based in our Brighton office. Responsibilities & Duties:
• Preparation of correspondence, reports, memos, forms, trial and tribunal bundles and bundles of documents to counsel, bills from audio dictation, manuscript and precedents in compliance with DMH Stallard house style guide
• Completion of standard forms without fee earner assistance and production of standard letters without dictation
• Review incoming mail in the absence of fee earners
• Handle general telephone enquiries, deal with telephone calls in the absence of fee earners and report back to fee earners. Receive and relay messages to and from clients and other professionals on behalf of fee earners
• Open and close files using... standard procedures, maintain an efficient filing system and review files to identify where follow up action is required
• Comply with office procedures for word processing file management
• Carry out basic accounting transactions and deal with matters arising on accounts print-outs
• Costing and preparation of bills for approval of fee earners
• Attend Group meetings and relevant training courses as determined by the Group Leader
• Carry out scanning of incoming documents to electronic files
• Filing, to include putting files away at the end of the day and e-filing.
• Update details on DMH Direct Extranet portal
• Dealing with accounts and obtain partner’s signature on dockets

Knowledge, Skills and Experience:
• Previous secretarial experience essential
• Fast and accurate copy and audio typing skills
• Legal background and knowledge or experience of litigation and family support would be an advantage
• Excellent IT skills with experience in Word, Excel and PowerPoint, Outlook and Internet. Ability to use track changes. Ideally previous experience of digital dictation and a case manager system
• Strong attention to detail, and a professional telephone manner. Being able to deal with emotional and demanding clients.
• Effective administrative, communication, decision making and team working skills
• Good standard of written English, grammar and spelling
• The ability to work under pressure and be able to meet sometimes unexpected deadlines
