Areas of Responsibility and Key Tasks

Team Responsibilities
• Maintenance requests
• Search for budgets – maintenance, cleaning stuff, works, IT, suppliers, etc – ensuring the most favorable price
• Catering for parent and one-off activities events
• Providing technical support and training space for one-off activities ​​​​​​​

Buildings and Facilities
• Basic premises management and maintenance, including rotas and schedules for maintenance staff.
• Preparation of tender for the selection of the most favourable suppliers
• Procurement of locally based resources and workers
• Liaison for catering provision services
• Responsible for transport arrangements for the school
• Effective communication with outside agencies to maintain office equipment
• Preparing work for caretakers – Spiceworks
• Garden care, care of the garden fleet – tractor, choppers…),regular service
• Organizing maintenance of sidewalks in winter: workers, stuff, gas...
• Handling of orders and customs requirements
•... Manage the preparation of building plans, specifications, obtain planning permissions and discuss new building specifications with the Executive Director and outside agents
• Communication with legal authority
• Filling in forms and updating NAE platforms for purchases and execution of works.
• Execution and transfer of information to the various platforms for internal audits and quality control of maintenance and surveillance, kitchen, IT, cleaning, facilities, occupational risk prevention, residence, laundry, etc.
• Administrative support and coordination of kitchen management
• Administrative and co-ordination management for the opening and implementation of the boarding school and the Old Campus.​​​​​​​

Health and Safety
• To take the roles of Security, Health and Safety
• Fire coordinator for the school.
• Monitor and evaluate the schools Health and Safety Procedures including emergency evacuation.
• Maintenance of risk assessment procedures and hazard definition within school and wider environment
• Training for cleaning and maintenance staff in Health and Safety issue (BOZP)​​​​​​​

Safety in the premises
• To be responsible for:
• Checking the heating and cooling system in accordance with regulation and tasks
• Checking the security system in accordance with regulation and tasks
• Checking the fire protection system in accordance with regulation and tasks
• Challenging unknown visitors or suspect persons in the school grounds and in the building
• Reporting potential health and safety risks and hazards within the grounds and buildings to line manager and ensuring that these issues are appropriately dealt with.
• Supervising workers on site regarding any work that is undertaken
• Checking, marking and cataloguing equipment and materials as appropriate

Maintenance and Repair
• The daily checking of all doors, fire exits.
• The daily checking of all fire equipment, school equipment, building and apparatus and the repair of damage as appropriate.
• Ensuring any repairs necessary in the school grounds or within the school are promptly dealt with.
• The moving and storing of school furniture, materials and equipment.
• Basic and simple tasks to improve the appearance of the interior of the school.
• Using initiative when necessary to solve problems to ensure the safety and cleanliness of the school environment which may fall outside of these specific tasks

Staff and Personnel Matters
• Monitoring the ancillary and technical staff work and performance on a continuous basis
• Appraise performance and maintain job descriptions for ancillary staff
• To be responsible for communication of policy, procedures and developments to ancillary and technical staff.

DESIRED OUTCOME
• To prepare sites prior to the commencement of construction work (to set out the site and organize facilities) in accordance to health and safety procedures.
• To plan projects and ensure that they meet agreed specifications, budgets and/or timescales and to oversee building work.

Skills, knowledge and competencies:

Qualifications/Training: University Degree or technical professional training with a school-leaving exam.

Experience: Experience with building and facility maintenance. Experience within customer service and purchasing and suppliers.
