The Opportunity This position works out of our Madrid location in the Structural Heart (SH) Division and the main purpose of the assistant role is to provide full administrative support to the GM, and assist the departments when high workload period Our SH business purpose is to restore health and improve quality of life through the design and provision of device and management solutions for the treatment of structural heart disease. What You’ll Do Calendar management and travel arrangements for General Manager and other Manager Plan and organize conference calls, on- and off-site meetings and events (scheduling, coordinating calendars, arrange hotel, transport, catering, audiovisual equipment) Organization and full logistics for on- and off-site quarterly Department Meetings Collect, summarize and track departmental information, update notice boards (organization charts, publication overview, dashboard) Support to Managers for congress attendance (prepare documents, information packs, …)
General admin: correspondence, memos, agenda, mailings, attendance sheets, contracts, expense reports Handle incoming mail, faxes, telephone calls & route to appropriate person exercising judgment regarding content and priority
Logistics for visitors: organize accommodation, set up meetings with management, organize visitor desk Request price offers, place orders and process invoices for printing and publication jobs Check, track and order office supplies Receive and check invoices, obtain necessary approvals and route to accounting Support for preparation of presentations in PowerPoint and Excel worksheet analysis Assist in establishing office policies and procedures Coordinate and work on special projects and department activities such as teambuilding, celebrations, … and other Compliance with corporate/local policies and procedures ATMS coordinator Administrative functions (roundtables, expert forums, congresses… that includes data verifications, contracts, invoices and payments) HC month closing review through Siebel HR Relationship with Foundations/ Associations to obtain necessary documentation for imbursements, contracts and ACTIVA follow up
