Based in Frankfurt and working as part of the T. Rowe Price International global support function, the appointee will provide high quality, administrative support to the local RM team and will be working closely with the Lead Office Manager Mid-Europe and Relationship Manager Associate. The role-holder will be part of a team comprising of 12 associates in Frankfurt, respectively 20 in Mid-Europe.

Work at times may be fast paced, complex, cyclical, sensitive and highly confidential in nature and therefore it is important that the role-holder is able to quickly grasp good knowledge of the investment fund industry in local... office and global policies, processes, and procedures.

Principal Responsibilities:
• Performs administrative duties related to the scope of the manager and team responsibilities.
• Schedules meeting, conference and video calls through Outlook and Zoom appointments, prepares correspondence and materials including brochures, presentations, meeting agendas, coordinates catering requests, compiles agendas, screens calls and visitors, coordinates travel arrangements (including international travel) and processes Amex and cash expense reports, including Compliance reports
• Responsible for coordinating both internal and external meetings, maintains calendars, and maintains filing and organization of other critical documents.
• Heavy calendaring may be required based on the scope of the roles supported and daily review and updates of the intranet and Outlook calendars are expected.
• Manages information flow. Handles cyclical gathering and distribution of information and internal proprietary communications. Maintains distribution lists and documentation of procedures for all distribution activities. Coordinates appropriate materials for meetings, appointments and presentations.
• Compiles, creates and maintains various reports, databases and charts using software applications that may require an advanced level of knowledge.
• Sharing responsibility for office supply. This includes delivery of post to the Post Office and organizing couriers where required; stationery orders and orders for any other supplies; sourcing and collecting catering supplies for the office and for visitors as required; ordering business cards for new hires.
• Organizing and planning of smaller local events including budgeting, RSVP management in CSR program, give away ordering, onsite support during the event and post-processing like invoicing.
• Supporting the Marketing team with Marketing events, e.g., travel booking for clients, RSVP management, CSR system updates, location side inspections, give away ordering.
• Organizing and planning the Mid-Europe off-site including location search, contracting, budgeting and team building activities.
• Taking care of physical mass-mailings like Christmas cards.

PERSONAL ATTRIBUTES / SKILLS / QUALIFICATIONS:
• Strong academic background, fluent in German and English both verbally and in writing. Furthermore, knowledge of French is an advantage.
• A minimum of 3 years administrative experience in a business environment (ideally financial or asset management industry) supporting senior executives and teams in a PA-type capacity.
• Prior experience working in a fast-paced admin role in a corporate working (ideally international) environment.
• Self-directed and able to perform assignments independently; demonstrates pro-active approach and is flexible with change; ability to pay attention to detail.
• Strong knowledge of Outlook and Microsoft Applications.
• A good knowledge of Concur, Salesforce and Seismic would be advantageous.
• Ability to multitask and prioritize workload.
• Comfortable operating in a role with a varied complexity of tasks.
• A flexible approach to working hours, as and when business needs dictate.
• Previous experience of working in the Financial Services industry is desirable.
• Strong customer service, communication and interpersonal skills.
• Enthusiastic team player.
