The Role

Our office and culture coordinator will play a vital role in harnessing a strong culture through creating inclusive initiatives and providing seamless support across the team and throughout the office.
• Open to full or part-time (2 days a week)*

How you will support with the Alfred Mission

Culture and Team
• Ensuring visitors and new joiners have a warm welcome to the office and you are a key point of contact for those entering the business
• Conducting Health and safety inductions with new joiners
• Creativity in planning and organising social and cultural activities which contribute to the development of a collaborative and fun working environment.
• Ensuring that our kitchen and pantry is full stocked, and support with prepping for meetings
• Ad-hoc supporting of team with administrative tasks
• Supporting leadership team with diary management
• Understanding the dynamic of the business beyond your immediate workload and responsibilities; co-operating with colleagues; maintaining a positive attitude; respecting the time and workload demands of others and offering support where required.
• Upholding a positive and supportive company culture by initiating or taking part in activities designed to enhance teamwork, company processes and client service
• Drive positivity day to day to foster a strong working environment and supporting with team happiness
• Inspiring others to live and breathe our values by embodying those values yourself.

Operational Efficiency
• As the first point of contact for colleagues, suppliers and clients, your responsiveness and solutions-oriented approach helps to maintain a productive working environment.
• Prompt and proactive responses ensure non-client calls and enquiries are efficiently dealt with.
• Alfred’s professionalism is reflected in well-presented office and meeting room areas, which are always tidy, well equipped and ready for use throughout the day.
• Effective working relationships with landlords, maintenance and cleaning contractors, ensures a consistently well-maintained working environment.
• General administration and office maintenance duties are undertaken with enthusiasm and attention to detail.
• Efficient office administration systems, including data management and filing are in place and are regularly reviewed in line with compliance requirements and business needs.
• Manage the upkeep of equipment and supplies to meet health and safety standards
• Inspect buildings’ structures to determine the need for repairs or renovations if needed
• Review utilities consumption and strive to minimise costs where possible. Work with management team to ensure that the office looks at sustainable solutions
• Ensure provision of an adequate supply of materials and supplies including equipment, stationery and first aid kit. Where suitable and cost-effective source ‘green’ suppliers and environmentally friendly products, promote recycling, sustainability and reduction of office waste.
• Organise and review office security and general administrative processes and induct new staff on relevant office processes, including data protection, security and fire safety.

IT Support
• Ensure laptops are set up and administered to new joiners in a timely manner
• Supporting the team with IT issues promptly - liaising with our IT supplier on key issues

Finance Administration
• Financial correspondence and paperwork are received, recorded and promptly dealt with.
• Enquiries are efficiently handled and responded to within two working days.
• Office budgets are diligently monitored and managed to ensure expenditure remains within agreed limits.
• Promptly recorded and payments to suppliers executed within designated timescales.
• Your time spent helping colleagues understand and adhere to company financial controls and procedures contributes to the agency’s financial health.
• You raise financial issues with the senior management team to ensure a prompt and effective resolution to problems.
• Timely and up to date financial information is provided to the senior management on occasion

Person Specification
• 1- 2 years relevant experience
• Excellent interpersonal, oral and written communication skills, with the ability to converse at senior level.
• Excellent organisational and time-management skills
• Strong knowledge of Microsoft Office Suite 365 (Word, PowerPoint, Excel, Outlook) and other commonly-used office packages
• The ability to prioritise tasks and work under pressure
• Strong attention to detail
• Flexibility and adaptability to changing workloads
• A proactive attitude with a problem-solving approach to work Ideally experience working in a marketing or communications environment or fast paced creative environment
