About the Position

The GATC is seeking an Administrative Coordinator to organize and maintain an administrative system that ensures efficient accountability and transparency of the GATC’s operations.

• Prepare expense reports for activities carried out by the Secretariat team, according to a format to be agreed with Rainforest Foundation US. Validate the invoices, receipts and other payment documentation provided, and submit financial reporting to the RFUS administrative team.
• Coordinate reimbursements of Secretariat staff with RFUS and follow up on disbursements made.
• Prepare monthly... quarterly, and activity-specific expense reports for activities developed by the Leadership Council as part of its ongoing financial planning.
• Review and follow up as needed on the financial reports prepared by the GATC members.
• Prepare the GATC’s annual financial report with RFUS and any partners that serve as fiscal sponsors.
• In collaboration with RFUS, elaborate administrative procedures to ensure efficient and agile accounting; these procedures will seek to avoid duplication of efforts and will favor digital tools.
• Maintain the GATC’s physical and digital archives.
• Support the preparation of financial reports on funding obtained by the GATC in coordination with RFUS.
• Prepare annual proposed budgets for the GATC in coordination with the Technical Secretary and the GATC Co-Chairs.
• Coordinate allocation of donors funds to the GATC approved budget, and lead ongoing financial management of the annual budget as additional funding becomes available.
• In conjunction with the Technical Secretary, propose budget modifications for approval by the GATC Council.
• Maintain records of GATC Council approval of grant applications, budgets, and budget modifications, and additional expenditures.

• Experience in administrative issues, logistical coordination, and technical assistance in projects.
• Preferably with experience working with non-profit organizations, indigenous peoples, local communities, and environmental issues.
• High intercultural and gender sensitivity.
• Knowledge of Ecuadorian tax and labor regulations.
• Proficiency in Office tools: Word, Excel, PowerPoint.
• Availability to assist the project team and its partners anywhere in the world, taking into account possible time differences.
• Willingness to travel (estimated travel up to 21 days per year).
• Prior knowledge of the GATC agenda a plus.

• Fluency in at least two languages customary in the communications of GATC: English; Spanish; French; Portuguese; or Indonesian

Workplace Culture & Conditions
• Remote, based in Quito, Ecuador, or New York, USA
• Able to travel regularly, particularly in the 4 regions where GATC operates;
• Familiar with remote work tools;
• Hired directly by Rainforest Foundation US, a fiscal sponsor of the GATC.
