About The Role

We have an exciting opportunity for an Administration Manager at HCA Laboratories to join our Administration and Customer Services Team. The role will oversee the day to day management of the customer services / administration team, whilst, in conjunction with the Operations and Quality Managers, maintain a quality management system to achieve CQC Registration and UKAS accreditation. You will be service driven and lead your team to deliver an effective and efficient experience to end users.

Key Duties And Responsibilities
• Be responsible for the day to day management of the customer services / admin team ensuring efficient turnaround of all cases to client hospitals and dealing with issues as they arise
• Ensure all outstanding work is followed up and chased promptly and efficiently and alert... the Operations Manager where delays persist.
• Ensure all extra work is sent out to the pathologists within SLA’s
• Ensure all communication is answered promptly and efficiently and issues escalated as appropriate
• Maintain the pathologist availability list and ensure cases are assigned appropriately
• Ensure the information held for all reporting pathologists is updated annually and all in date, raising any issues with the Operations Manager or Quality Manager as appropriate.
• Be responsible for ensuring that the standard operating procedures (SOPs), policies and risk assessments are read and followed by all customer services / admin staff
• Review working practices and procedures where applicable and ensuring effective and efficient
• Participate in audits as necessary in line with UKAS requirements enabling a process of continual quality improvement
• Ensure patient, pathologist and client data is accurately input and maintained and updated appropriately

Skills Needed
• Previous experience of working within customer service delivery to a high standard
• Experience within a private healthcare organisation is preferred
• Flexible attitude and able to meet the changing needs of the service
• Highly organised and able to lead and motivate a team
