Duties

Major Duties:
• Receive, evaluate, and screen all calls and visitors.
• Serve as timekeeper.
• Prepare all educational and travel requests for assigned staff.
• Prepare correspondence, reports, and other documents ensuring grammar, spelling, capitalization, punctuation, and format following policy.
• Edit and compose correspondence such as, but not limited to reports, memoranda, letters, confidential evaluations, Congressional Responses, Reports of Contact, VACO correspondence, Patient Advocate Tracking System assigned to the service, and any correspondence for signature by the Executive Director.
• Maintain suspense log for Congressional correspondence, reports of contact, and internal and external suspense.
• Develop internal standard operating procedures by researching publications, regulations and recommending new policies or changes.
• Prepare agendas and minutes and serve as the recorder and transcriber for meetings.
• Maintain the section supervisors' daily calendar making appointments and arranging conferences and meetings.
• Arrange for space and equipment, provide notifications, assemble and distribute information required prior to meetings, and ensure all audio and visual capabilities are fully functional.
• Assemble material required for scheduled meeting or travel.
• Coordinate rounding schedule and ensure rounding sheets are sent and received prior to the meeting. Coordinate staff meetings and activities and send calendar invitations to all participants.
• Make travel arrangements to include preparation of itinerary, travel vouchers, reservations of airline tickets, transportation, and lodging and process paperwork for reimbursement of travel expenses.
• Performs other related duties as assigned.

Work Schedule: Monday-Friday, 7:30am to 4:00pm

Qualifications

The following is required to qualify for this position:

EXPERIENCE: At least one (1) year of specialized experience equivalent to at least the next lower grade level (GS-4) in the Federal service. Specialized experience is experience performing executive administrative support duties including all or most of the following: managing an office calendar, scheduling appointments and meetings, preparing meeting agendas and taking meeting minutes, reception (greeting visitors and answering phones), preparing correspondence and reports, timekeeping, data entry, maintaining electronic files, and utilizing office automation software.

EDUCATION: Four (4) years of successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite.

COMBINATION: An equivalent combination of successfully completed post-high school education and experience as described above may be used to meet the total qualification requirements for this position.

NOTE: Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to six months of specialized experience.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary, although there may be some walking, standing, bending and carrying of light items, such as papers, books, or small parts.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
