About The Opportunity

This position provides executive level support for the Senior Vice Provost and Chief Inclusion Officer (CIO) in the Office of Diversity, Equity, and Inclusion (ODEI). Responsible for managing administrative needs to ensure that the CIO's time is effectively allocated and that he has the information/materials needed to advance the priorities of the office. The Executive Assistant provides a comprehensive range of support services to ensure the overall efficiency of the ODEI in a high level and fast-paced environment. The position requires excellent skills in organization, communication, multi-tasking and timely completion of work products. This position is currently working on the Boston campus 3 days a week/2 days at an alternative work location. Please submit a cover letter and resume by October 31, 2022.

Key Responsibilities & Accountabilities

Manage the CIO's Activities and Calendars

Provide office management and administrative support, as well as... maintaining organized filing and database systems. Manage CIO’s calendar and coordinates high level meetings. Manage high volume of demands for the CIO’s time by resolving potential conflicts. Prepare agendas and meeting notes in a timely manner to ensure CIO is well-prepared for all meetings, events, and speaking engagements. Monitor and advance progress on key initiatives managed by the CIO and their teams. Anticipate upcoming events and required preparation. Must be able to balance, prioritize, and multi-task effectively the multiple projects and deadlines of the CIO portfolio.

Communication on behalf of CIO

Communicate with internal constituencies on behalf of the CIO. Review, revise and summarize correspondences and briefs. Create accurate and professional PowerPoint presentations and Word and Excel documents for the CIO. Must have excellent communication, writing, and editing skills. Attention to detail must be a priority.

Travel Coordination

Make CIO’s travel arrangements, prepare itinerary and event information. Conduct necessary research to prepare CIOs for events or meetings. Process and track travel reimbursements; reconcile travel and office expenditures. Support development of presentation and documents related to travel.

Support Financial Management

Prepare financial transactions for the CIO’s approval (reimbursements, purchase cards, journal vouchers) to ensure that they have been properly completed and are in compliance with university policies. As directed, prepare requisitions, and prepare and submit documentation for payment of ODEI invoices.

Office Management

Provide administrative oversight and operational supervision for offices/office space within the CIO portfolio as requested

Qualifications
• Bachelor’s degree required; masters preferred.
• Minimum of 5 years of senior administrative experience required, preferably in higher education or executive setting, and preferably including operations support.
• Experience managing staff and a self-motivated worker who can anticipate problems and demonstrate significant independent judgment.
• Detail oriented; high-level attention to accuracy and completeness required.
• Excellent verbal and written communication skills along with excellent people skills and the ability to deal with sensitive situations as they arise.
• Demonstrate advanced computer skills including Microsoft Office (Word, Excel, PowerPoint, Outlook and SharePoint, Teams), Google Docs, and virtual platforms (Zoom, etc.).
