Introduction

My client is looking to appoint an Executive Assistant to support the Group Head Office Finance team as well as other Group Executives and Board of Directors

Duties & Responsibilities

• Manage travel arrangements (domestic and international)

• Manage and co-ordinate diaries for the Group CFO and other Head Office team members

• Maintaining the online and paper filing systems and ensuring that the necessary archiving and destruction instructions are done

• Ordering of consumable and stationary as required for the Head Office department

• Arrange functions as required

• Take minutes of meetings as required

• Obtain weekly cash balances on all accounts and update shared spreadsheet accordingly

• Load payments of Creditors and transfers

• Manage the banking authorities, ensuring that necessary mandates are updated when staff resign and are appointed

• Assist with collation of data, including annual declarations by directors, for the annual report and annual... financial statements

• Work closely with Company Secretary to manage all company records for South African companies ensuring that resolutions, minutes, updated CIPC forms, etc. are filed accordingly

• Assist with the preparation of Board committee meeting agendas, meeting packs, etc. and the distribution thereof

• Collate FICA//KYC requirements for the banks

• All admin related to JSE/SEC filings

• Admin on the quarterly dividend payments

• Admin on the Employee incentive scheme

• Onboarding for new joiners

• Ad-hoc request from the Head Office finance team

Desired Experience & Qualification

• Matric

• Tertiary qualification (Secretarial, Project Management or equivalent)

• Valid Driver’s Licence and own transport

• A minimum of 5 years’ experience in a similar senior role. Experience working for a JSE listed company at a senior level would be an advantage

• Previous experience with company secretarial duties, not necessarily as a qualified Company Secretary

• Minute taking experience is a definite requirement

• Excellent computer proficiency (MS Word and Excel)

• Excellent communication skills, including the ability to effectively communicate with Directors, Legal Counsel, Auditors and other advisors – both South African and US based

• Able to work independently and carry out assignments to completion within parameters of instructions given, prescribed routines and standard accepted practices

• Must be able to work under pressure and meet deadlines whilst maintaining a positive attitude and providing exemplary customer service.
