Specific Duties/Responsibilities:
Act as the primarily staff liaison between Chapters.
Assist with event management
o Speaker coordination
Identify potential speakers
Create and maintain system to categorize
Research speaker ratings, approach, pricing
o Create marketing materials, email copy
o Set up registration
o Coordinate meals and other event logistics
o Find venues (or set up Zoom)
o Dry run with speakers
Document management
o Secure bylaws and agreements from all Chapters
o Review yearly
o Obtain annual strategy plans for each chapter
Payment documentation
o Track document submissions and inform accounting when payments can be made
Recruit/secure volunteers
o Find/recommend Chapter chairs, board members
o Create & maintain volunteer orientation materials
o Assist other Chapter Board members with orientation of new volunteers
Governance oversight/support
o Create & maintain a governance tool kit – requirements, training
o Ongoing... governance refreshers – create, coordinate, execute, as needed
Create/manage other resources – protocols, surveys, marketing materials etc.
Create and maintain resource kit
o Update and maintain Chapter toolkit
Attend chapter meetings when necessary
o Either in person or virtually
o Ensure staff members are attending all chapter meetings/events
o Staff travel calendar – coordinate for chapter activities/attendance/speaking opportunities
Manage “no chapter” member activity
o Communicate to members in these regions
o Create meetings – all details from start to finish
Education
A post secondary degree/diploma in administration or in a related field.
Experience
1-3 years’ previous experience in an administrative role.
Previous experience in meeting planning and administration including taking of minutes, issuance
of notices, etc., preferred
Previous experience with volunteer administration and engagement preferred
Core Competencies
Professional communication (written and oral) and interpersonal skills to interact effectively with a
broad range of internal and external stakeholders.
Comfortable with occasional public speaking
Strong organizational skills to be able to handle multiple tasks and deadlines
A strong team player who can work effectively with other internal and external parties.
Ability to travel throughout Ontario
Sound knowledge of MS Word and Excel and ability to learn other software and databases
