The Ombudsman exists to help New Zealanders in their dealings with government agencies. The focus is on handling complaints against government agencies, undertaking investigations and inspections, and encouraging good administration. The Chief Ombudsman is independent and impartial, with the goal of fairness for all.
We are looking for an experienced EA or superstar administrator to support our Assistant Ombudsmen across two groups – Corporate and Complaints Resolution.
Mō te tūranga - About the role
The role of Executive Assistant is to enable the Assistant Ombudsman Corporate and the Assistant Ombudsman Complaints Resolution to fulfil their responsibilities at a strategic, management and... operational level by providing the full range of Executive and administrative support services.
We're currently looking for an executive assistant to be a supportive force for two of our Assistant Ombudsmen. You will be a proactive problem solver with exceptional communication skills and meticulous attention to detail.
You should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
This will be a fast paced role where you will bring your superior organisation and time management skills to enable the Assistant Ombudsmen to better manage their work and achieve their business goals.

To be successful in this position you will have:
• experience in a similar position so you can hit the ground running from day one
• excellent written and verbal communication skills, and ability to maintain confidentiality for the Ombudsman and its employees
• strong time-management skills and an ability to organise and coordinate multiple activities with competing timeframes
• strong attention to detail and keen ability to understand issues
• experience providing efficient and effective management of schedules, emails and documents; coordinating meetings and events and providing corresponding agendas and minutes
• flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
• maintains professionalism and strict confidentiality with all materials and exercises discretion when working with other parts of the business.
The successful appointee will have a legal entitlement to work in New Zealand and may be required to achieve and maintain a NZ government (NZSIS) security clearance.

The appointment range for this role is between $54,388 and $74,784 (with $67,985 being the mid-point) and the appointment will depend on the skills and experience of the successful candidate.
