POSITION TITLE:
CENTRAL REGISTRAR - Temporary position

REPORTS TO:
DIRECTOR OF TALENT MANAGEMENT/ADMINISTRATIVE ASSISTANT-TALENT MANAGEMENT

Summary:
Registers new students, obtaining transcripts, residency verification, medical physicals, birth certificates and other documentation. Interacts with school staff in the registration of new students. Maintains a variety of records, including out of home district students, outplacement school, and parent notification. Works closely with school administrators, family members, and students in compiling and processing information

Essential Duties And Responsibilities :
Other duties may be assigned. Inputs data in computer for confidential student cumulative records, enrollment, transportation, etc.

Performs responsible and varied administrative clerical and secretarial work in receiving, entering and maintaining student registration data in a student database; performs numerical projections; and maintains administrative files.

Assists in the compilation of data and preparation of reports for city, state and federal government agencies, and the handling of fiscal and clerical matters.
Frequently composes correspondence without instruction; maintains confidentiality of information.
Provides assistance to families seeking placement of children in the school system.
Coordinates the transfer of student records to school sites.
Performs data and word processing in maintaining student enrollment information. Receives student data from schools and a variety of sources. Ascertains accuracy and reliability of information. Enters information into student information database, i.e. (Powerschool).

Produces monthly, annual and periodic enrollment reports by school and submits reports as necessary to the Superintendent's office, State Education Department and other offices as required.
Assists administrators in the development of projected school and kindergarten enrollment numbers.
Prepares statistical reports of some complexity. Receives requests from Board and school administrators for various enrollment data.

Employs spreadsheet and computer-generated charts to assist administrators in enrollment analyses, including projecting space and employment needs, and anticipated revenues.
Perform back up responsibilities for Reception Desk.
Provides task supervision to clerical and other office staff or volunteers.
Performs administrative and secretarial assistance of a confidential, complex, and responsible nature for a school system administrator when requested.
Receives oral or written directions from supervisor
Independently composes letters and reports.
Independently performs special projects such as preparing and producing informational documents for families, or overseeing routine administrative programs.
Transmits and explains supervisor's directives to designated persons, and follows up for compliance, completeness and conformance to deadlines.

Screens incoming correspondence or call, provides information and assistance or refers to appropriate staff members, and follows up to ensure timely response.
Compiles and coordinates data for action by supervisor.
Performs special assignments, studies and routine administrative functions as directed.
Perform other duties as assigned by supervisors.

Skills, Knowledge, Abilities:
Ability to acquire a working knowledge of Board of Education policies, procedures and educational philosophy.
Ability to relate in a positive, friendly manner with staff members, students, parents and the general public is essential.

Must be able to carry out written and oral instructions as well as having the skill to deal with on-the-job problems as they arise.

Must be able to acquire proficiency in departmental computer applications, such as Powerschool or other student information management data bases.
Must have a good working knowledge of Microsoft Word and Excel. Must be able to utilize the schools' email system.
Must be able to maintain administrative, fiscal and general records and to prepare reports and answer questions from records.
Ability to independently carry out special projects and programs within assigned area of responsibility.
Ability to establish and maintain complex files and record systems.
Ability to acquire a working knowledge of unit responsibilities.
Knowledge of modern office practices and procedures.
Ability, accuracy and speed in word processing and typing.
Ability to organize multiple tasks.
Ability to establish and maintain positive working relationships with others contacted in the course of work.
Ability to communicate effectively with the constituents.

Education and/or Experience:

High School Diploma, General Education Degree (GED), college coursework preferred. Previous school secretary office experience and bilingual proficiency desired. Salary $23.09 - $30.11/hour, commensurate to experience

ASAP - Temporary position (approx. 6 months)
