CW Products, alongside its subsidiary company, Shutter Connections Australia, have an exciting opportunity for an experienced Office Manager to join their team in a full-time capacity based in Melbourne’s Western suburbs.

About the Opportunity:

Reporting to the Branch Manager, the Office Manager plays a critical role in providing high-quality administrative, financial, people and office support across... the business.

Key Responsibilities:
• Provide leadership to a team of 1-2 direct reports
• Oversee the day-to-day office coordination and administration
• Liaise with external contractors to coordinate scheduling requirements
• Prepare agendas, prepare and collate papers, take minutes, write summaries and distribute documents as required
• Develop and maintain appropriate administrative systems, including accessible record keeping, filing and archive systems
• Data entry, email management, bookings management (travel, accommodation, venues)
• Oversee finance function including managing the accounts payable and accounts receivable processes
• Coordinate payroll and all supporting functions (ie coordinating leave and superannuation)
• Provide assistance with financial reconciliation and finalisation
• Assist with procurement processes and preparation of contracts with product and service providers, quoting and purchasing of uniforms, stationary, equipment and other assets
• Respond to all enquiries and issues in a timely manner
• Handle/direct client concerns to relevant area, including complaints management

About You:

To be successful in the role you will demonstrate:
• 3 years’ prior experience in an office coordination or manager position
• Strength in coordinating tasks and projects on time and budget
• Exposure to finance reconciliation functions
• High level of digital literacy, including proficiency in Microsoft Office applications
• High degree of professionalism, confidentiality and discretion
• Proven ability working successfully in a fast-paced, family business
• Experience and strength in thinking through next stages of tasks and proactively recommending or anticipating next possible requirements
• The ability to adapt quickly to changing priorities and a proven ability to manage deadlines and prioritise work
• Ability to thrive in a high pressure, fast-paced environment
• Exposure to a warehousing and/or sales environment (advantageous)
