Role Description
EO Toronto is seeking a motivated and detail-oriented Event Planner to join our team on a 6-month, part-time contract, with the potential to transition into a full-time role based on performance. This role is ideal for a self-starter with 3+ years of experience in event planning and a passion for creating meaningful, high-quality experiences.
This is a remote role based in the Greater Toronto Area, with on-site presence required during events. As our Event Planner, you’ll take ownership of end-to-end planning and execution of dynamic events—from strategic coordination to hands-on delivery. Your work will support EO Toronto’s mission to foster learning, connection, and growth among entrepreneurs.
Key Responsibilities
Event Strategy & Planning
Collaborate with the Events and Engagement Chairs, Chapter Manager and Chapter leadership to define event objectives, formats, and target audiences.
Develop detailed project plans and timelines for each event.
Research and recommend venues, vendors, and suppliers that align with the event vision, the organization’s goals/values and budget.
Event Coordination
Manage all aspects of event logistics, including venue booking, catering, rentals, audiovisual setup, permits, insurance, and travel/accommodations when required.
Coordinate and supervise vendors, contractors, and event staff before and during events.
Coordinate speaker requirements, run-of-show documents, and real-time adjustments on event day.
Handle event registration, RSVPs, guest lists, and onsite check-in processes.
Promotion & Communications
Work with marketing/communications teams to create event promotional materials.
Manage the coordination of event announcements, invitations, and follow-ups through email, social media, or other channels.
Ensure consistent brand presence across all event materials and experiences.
Budget Management
Prepare and manage event budgets, track expenses, and reconcile costs post-event.
Source and negotiate with vendors to ensure the best value and service.
On-site Execution & Post-Event
Lead event setup, execution, and teardown, ensuring all elements run smoothly.
Troubleshoot issues in real-time and adapt as necessary to changing circumstances.
Conduct post-event evaluations and provide reports with key learnings and recommendations.
Qualifications
3+ years of experience in event planning, hospitality, or project coordination.
Proven ability to manage multiple events with competing timelines.
Budgeting proficiency
Strong organizational and time management skills.
Excellent interpersonal, negotiation, and communication skills.
Proficiency in event software and tools (e.g., Eventbrite, , Cvent, Asana).
Availability to work evenings and weekends, as needed, depending on events.
Diploma or degree in Event Management, Hospitality, Marketing, or a related field preferred.
Ability to work independently and in a team
Knowledge of the Greater Toronto Area event landscape
Must have access to a vehicle and be able to travel to event venues across the Greater Toronto Area
Bonus Skills
Familiarity with graphic design tools, Canva skills and social media platforms.
Background in working with volunteers or community groups.
Experience working at a not-for-profit or association management company
