Job Title: Office Administrative Assistant

Position Overview:
We are seeking a highly organized and proactive Office Administrative Assistant to join our team and support our day-to-day operations. The right candidate will play a crucial role in ensuring the smooth and efficient operation of our office. The ideal candidate will be detail-oriented, possess excellent communication skills, and could multitask in a fast-paced environment.
Key Responsibilities:
- Perform general office tasks such as answering phones, responding to emails, and greeting visitors in a professional manner.
- Maintain and organize office files, both electronic and paper, ensuring easy retrieval of information.
- Manage office supplies inventory by ordering and restocking as necessary, ensuring a well-supplied workplace.
- Assist in production tasks, will eventually be trained to operate basic machinery and tools.
- Support accounting and HR functions by processing invoices and maintaining accurate and timely records.
- Collaborate with other departments to facilitate communication and assist with ongoing projects as needed.
- Perform data entry and maintain databases to ensure accurate information is readily available.
- Help implement and maintain office procedures to improve efficiency.
The above is not an exhaustive list of duties, and you will be expected to perform different tasks as required by your changing role within the organisation and the overall business objectives of the organisation.
Qualifications:
- Attitude: you do not know everything and may never know everything but you're willing to listen and learn about the office side and the production side of the business. We are looking for a hands-on type of person.
- High school diploma or equivalent; studies/degree in business administration or related field is preferred.
- Bilingual (English/French) preferred.
- Previous experience in an administrative or office support role is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with various office equipment.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Detail-oriented with a strong commitment to accuracy and quality.
- Ability to work both independently and collaboratively within a team.
- Positive attitude and professional demeanor.
