We are looking for a dedicated and organized individual to join our team as a District Office/Community Education Secretary, supporting the smooth operation of these vital programs.
Position Summary:
Under the direct supervision of the Superintendent of Schools, to provide a wide variety of complex and confidential administrative and secretarial support to the Superintendent; communicating information on behalf of Superintendent to school district employees, parents, other school districts, public agencies, etc., ensuring compliance of Superintendent's office and Board activities with administrative requirements; and address a variety of issues and/or provide general support necessary to ensure efficient and effective school district operations.
Key Responsibilities:
• Attend all regular, special, and committee board meetings, and additional meetings, as needed. Taking minutes and keeping notes to be posted on Board Book.
• Composes routine and complex documents (e.g. correspondence, policies, agendas, minutes, newsletters, event programs, handbooks, bulletins, reports, etc.) for the purpose of communicating information to school and district personnel, students, parents, the public, and others.
• Prepares copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees, Board members, parents, and the public regarding meetings, activities, events or other work-related matters.
• Assists the Superintendent in preparing and distributing agendas for Board of Education and committee meetings.
• Organize set up and attends meetings, some are in the evening, as assigned (e.g., Board of Education meetings, cabinet meetings, meetings with others contacted in the course of work) for the purpose of conveying and/or gathering information required to perform functions and meet record-keeping obligations.
• Maintains the daily/weekly/monthly calendar of the Superintendent to coordinate the scheduling of work-related appointments, activities, meetings, etc.

• Oversee and manage the district related communication on the school website and Social Media posting
• MN Department of Education Reporting
• Open Enrollment and Homeschool Reporting
• Student Tuition Agreements
• Supply Ordering
• Maintains documents, and records for the purpose of providing up-to-date reference, retrieval, and audit trail for the Superintendent and for compliance.
• Provide Payroll and Accounts Payable Assistance to Finance Specialist
• Backup front desk as needed.
Qualifications:
This position is responsible for processing and maintaining all functions relating to administrative support for the Superintendent and School Board, while providing the highest level of customer service.
• High school diploma or equivalent; Associate's degree in office administration or related field preferred.
• Experience working in an office environment preferred
