JOBResponsible for compliance with the Village’s purchasing policies and procedures, including review and processing of purchase orders. Supports various departments in preparation of bid documents and contract awards for capital projects and services. Monitors contract payments and compliance with contract terms. Performs duties involving planning, coordinating and researching grant opportunitie...s that will augment local funding sources for various community needs and enhancement projects.EXAMPLE OF DUTIES(These are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.)Reviews and processes purchase requisitions; produces purchases orders; processes invoices related to purchase orders for paymentPrepares bid and proposal documents, attends bid openings, participates in contractor selection process, supports preparation of Council agenda packages for contract awards.Assists with Annual Financial Report and Budget.Conducts research to locate available grant opportunities for funding of Village projects and programs.Completes grant application packages and monitors funding requests and awards to ensure compliance with submission and reporting requirements. Coordinates with appropriate Village staff and local community organizations and committees to plan grant project concepts and designs.Facilitates interdepartmental coordination of status reports to meet funding agency requirements.Prepares grant status reports as required by granting agencies.Prepares reimbursement requests for grants and interlocal agreements.Coordinates and executes close out procedures for each grant including reimbursement requests.Serves as back up for Accounts Payable and Cash Receipts functionPerforms other related duties as assigned.
