Job Title: Executive Assistant Location: Human Resources Department Class Title: Regular- Non-Union Non Exempt Effective Date: 1/29/24 Salary Range: $22.00-$25.00 Hours per week: Full Time - 40 hours General Statement: Serves as the Executive Assistant to the Human Resources Department and supports a variety of highly skilled administrative clerical and office coordinator services. This position requires vigilant adherence to the maintenance of confidentiality and discretion with regard to student and staff issues and activities. Must have Excellent organizational and time-management skills. Responsibilities:
• Greets and welcomes all with excellent communications and interpersonal skills.
• Maintains accurate and up-to-date human resource files, records, and documentation.
• Maintains the integrity and confidentiality of human resource files and records.
• Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
• Verify I-9's are documented properly. Process E-Verify for each employee.
• Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
• Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events and retirement celebrations.
• Establish and maintain effective working relationships with other departments, public and private organizations, department personnel and the public at large.
• Participates in administrative staff meetings and attends other meetings as required and necessary trainings
• Performs other duties as assigned.
Qualifications:
• Experience:
• Experience with employment practices and procedures.
• Education:
• High School Diploma or equivalent required.
• Associate's degree in a related field preferred.
