A great opportunity to join our Logistics team based at our Colnbrook office has arisen! The purpose of this role will be to provide administrative support to the logistics/warehousing team based at Colnbrook and Bedford (inc Field Support, Warehouse and Fleet Management) as well as coordinating their activities and travel requirements. You will act as the coordinator/traffic manager (using our internal help desk ticketing system) supporting the communication and effective working practices within the logistics / warehousing teams and other internal departments and clients.

Key Accountabilities
• Review, triage, respond and support the internal Help Desk ticketing scheme for the Warehouse/Logistics & Field Support team
• Communicate help desk ticket status to requestors and stakeholders, including providing follow ups, conducting further investigations and escalating as needed
• Work towards agreed SLA’s, for the internal help desk ticketing system, providing a timely and efficient service
• Supporting the collation of the Logistics', Field Support and Fleet time sheets and submit pay alterations to Payroll
• Support the collation of expenses for the logistics department and submitting to Finance
• Coordinate the booking of accommodation and travel arrangements for the logistics team
• Work with the FS team to schedule the maintenance of In Store Sampling Stands, liaising with other Depts as required.
• Monitor and maintain all office and staff welfare supplies
• Monitor and maintain a record of the logistics team uniform and safety equipment
• General administration duties including filing, photocopying, scanning and printing of documents, typing up meeting notes, managing post, maintaining and updating contact lists
• Update and maintain spreadsheets pertaining to but not limited to, internal costings, fleet usage, warehouse storage, additional hours, work related fines, sickness and holidays, providing reports to key stakeholders as needed
• Help screen and direct incoming calls & messages to appropriate staff members
• Maintain and update contact lists
• Schedule meetings for logistics and field support, booking meeting rooms as needed
• Working with the Mobile Maintenance Manager (FS) to coordinate the maintenance and servicing of a range of promotional and demonstration units across a range of retail outlets. This will include maintaining records of repairs, coordinating annual PAT tests and maintaining records, ordering/ managing stock levels, undertaking repairs/ damage trend analysis
• Support the logistics team in ensuring GDPR compliance
• Support the Fleet Coordinator to manage and coordinate N2O’s range of vans and cars inc hire vehicles
• Support with any other duties as required associated with the warehouse, logistics and field support teams

Essential
• Excellent English written and verbal skills
• Good at juggling tasks, prioritising and working to deadlines
• Experience working in an office environment in an administrative capacity
• Good working MS Office and Excel knowledge

• Salary £24-26k gross per annum (DOE)
