Talent Acquisition Coordinator – Contract (Background Check Coordinator)

The Talent Acquisition Background Check Coordinator position acts as the point person for background check related inquiries, including managing background check escalations. The Background Check Coordinator will provide high touch support to candidates, Talent Acquisition colleagues, and internal stakeholders throughout the background check escalation process. To succeed in this role, you will need to be detail oriented, an excellent communicator with internal and external stakeholders, and possess strong time management skills to prioritize multiple tasks.

• Manage ***’s background check escalation process by working closely with Talent

Acquisition coordinators and recruiters, candidates, and internal stakeholders.
• Follow ***’s policies and procedures for each escalation.
• Determine internal stakeholders to partner with on each escalation, forwarding results

requiring additional review to the appropriate team.
• Meticulously track details of each escalation on background check tracker.
• Communicate details of escalation process to candidate, as necessary.
• Communicate effectively with coordinators and recruiters throughout the background

check escalation process. Engage recruiters when there are delays in the process and notify recruiters of background check results in a timely manner.
• Manage adverse action process when candidate fails their background check.
• Partner with background check vendor, as necessary, during dispute process.
• Coordinate process with internal stakeholders when background check is failed for

contractor conversions.
• Serve as Talent Acquisition’s subject matter expert in the background check process, including

reviewing and interpreting background check results on vendor platform.
• Provide support and guidance to Talent Acquisition Coordinators by answering day-to-day

background check related questions.
• Partner with background check vendor for support navigating various situations and roadblocks

throughout the process.
• Create and facilitate background check training sessions for new Talent Acquisition

• Attend weekly background check vendor meetings with supervisor to provide input on current

issues, as well as process improvement ideas.
• Initiate and manage background checks for specific populations.

Adhere to Talent Acquisition expectations and timelines for background check service level agreements.

Monitor candidate progress daily in background check system, anticipating delays and

identifying system errors/issues in a timely manner.

Maintain background check tracker, ensuring accurate updates are documented daily. Provide high touch customer service to candidates, ensuring accurate representation of *** and a positive onboarding experience.

Review background check results, collect documentation from candidates when

additional verification is needed, and adjudicate background check orders.
• Update candidate background check status in applicant tracking system

• Ability to work independently, take ownership of assigned workload, and make sound judgment

calls when reviewing background checks.
• Self-motivated in problem solving and taking initiative to find solutions for day-to-day obstacles.
• Ability to be discreet with confidential and sensitive information.
• Prioritize relationship management with Talent Acquisition colleagues, internal stakeholders,

and background check vendor.
• Constantly increase knowledge base and contribute to process improvement.
• Assist with ad hoc assignments and projects as determined by supervisor and Director.
• Attend biweekly Talent Acquisition Operations & Innovation team meetings, sharing updates on

accomplishments and projects in assigned area.

Minimum Qualifications
• Minimum of an associate degree required. A degree in Human Resources is preferred.
• Minimum of 2 years of previous experience in staffing coordination or in an HR environment.
• Excellent communication skills (verbal and written) are required to interact extensively with

candidates and personnel at all levels within the company.
• Excellent organizational and customer service skills, including email/phone etiquette, attention

to detail, follow-up, and can-do attitude.
• Effectively handles multiple tasks and ability to prioritize workload in fast-paced environment.
• Strong MS Office experience, especially Outlook, Word, Excel, and PowerPoint.

Preferred Qualifications
• Bachelor’s degree preferred.
• Previous experience working in Talent Acquisition tracking background checks and managing

background check escalations.
• Previous experience working with various HR systems, including SmartRecruiters (Applicant

Tracking System), Workday (HR Information System) and Sterling (Background Check System
