The Museum Facilities portfolio includes the Museum Complex and 4 other buildings housing numerous academic departments including lab spaces, collections, libraries, and museums, some of which are open to the public. The portfolio totals approximately 380,000 Square Feet and a budget of approximately $4.5 million. The Building Manager is responsible for managing a wide range of support functions and all activities relating to building operations, Museum security, building systems, safety, maintenance and services, and facility budget control.

Position Description

The Building Manager:
• Conducts daily building inspection tours to identify deficiencies throughout assigned buildings and assists the Area Manager with anticipating maintenance issues before they arise and prioritizing repairs.
• Oversees building requests for maintenance, emergency repairs, shutdowns, renovations, and scheduling with impacted departments as needed.
• Reviews and tracks work orders via a web-based system. Coordinates with FMO and vendors to schedule maintenance work. Ensures all work is completed in a satisfactory and timely manner. Follows up with building occupants as needed.
• Analyzes, plans, schedules & manages multiple operations projects and renovations, including small – mid-size capital projects. Small projects in the research labs are typically under $100k, mid-size+ projects range from $100k-$600k, but sometimes they are upwards of $1M+.
• Collaborates with and supports Sr. Capital Project Managers working on capital projects.
• Works closely with security and alarm vendors to ensure best practices for Museum security. Oversees security supervisor and guards/workforce. Leads quarterly Museum security meetings. Leads Securitas Account Manager meetings. Coordinates physical security projects, and initiates safety and training programs including AED, MOAB for guards, CPR, Stop the Bleed, and Fire Extinguisher training. Reviews alarm accounts, and is the liaison between Museums and Harvard University Police Department (HUPD).
• Oversees all aspects of day-to-day building operations to ensure that the highest quality of service is provided in support of the faculty, students, and staff. Independent decision-making, management of vendors/contracts, project management, customer relationship management, and effective communications.
• Manages yearly operating budgets totaling approximately $4.5 million in the Museum's portfolio including negotiating contract and labor costs, reviewing invoices and scope of work for accuracy, forecasting future maintenance priorities, and spending accountability on all projects they are assigned to manage.
• Maintains VFA Database for the portfolio, and utilizes data to develop short- and long-term renewal plans that have a substantial impact on the Facilities Conditions Index (FCI) rating.
• Oversees the day-to-day operation of HVAC controls to maintain the preservation of the Museum collections. Manages Siemens vendor relationship/technicians and related projects.
• Responds to emergency situations as appropriate during working and off-hours.

Basic Qualifications
• Minimum of 7 years progressive experience in Building or Construction Management.
• Experience in alterations and renovations of academic museum, science, research, and/or medical facilities is desired along with working knowledge of construction procedures, building code, and life safety requirements.
• Working knowledge of Microsoft Office and Building Automation Systems.

Additional Qualifications And Skills

• Bachelor’s degree in Engineering, Construction Management or Planning, or Construction Supervisor license strongly preferred.
• Working knowledge of Bluebeam and CAD/Revit desirable.
• Experience in comprehensive evaluations of university facilities is helpful.
• Familiarity/experience with design, mechanical, and electrical systems, and experience in making recommendations for improvements.
• Solid knowledge of local, state, and federal regulations for operating in an urban area setting within an educational, research-oriented environment.
• Excellent interpersonal skills with the ability to work with all organizational levels.
• Must be able to prioritize and perform under pressure.

Physical Requirements

Walking throughout facilities including stairways, mechanical rooms, roofs etc.

Working Conditions

During emergency situations and severe inclement weather, this position is designated as essential and critical to the operations of the FAS.

This position is based primarily on-campus, in Massachusetts. This may include in-person during emergency situations (if applicable).
