HR & Office Coordinator - Riyadh Our client, a multinational pharmaceutical company, is seeking a dedicated HR & Office Coordinator in Riyadh. This role supports the growth and ongoing operations of their three entities in Saudi Arabia, contributing to the 2030 Vision and the National Transformation Plan. The successful candidate will help drive the company s innovative solutions in virology, oncology, and fungal infections. Role Overview:The HR Coordinator will assist the regional HR Shared Services Team (based in the UK) by providing local HR Generalist expertise. This role will develop local policies, ensure compliance with local regulations, and support vendor management for PRO services. Additionally, the coordinator will collaborate with the Middle East HR Business Partner and the General Managers of all three entities to ensure efficient local HR administration and office coordination. Key Responsibilities: Local HR Shared Services: • Serve as the main point of contact for... local PRO services.• Maintain auditable files and trackers.• Support PRO with portal access tracking and registration.• Manage government portal access and reporting.• Prepare bi-lingual letters for government and private entities, including processing family visit visas and Chamber of Commerce attestations.• Track work permits, Iqama, and exit re-entry validity for non-Saudi nationals, notifying employees 30 days in advance for renewals.• Assist with business-traveller visa support and MUQEEM portal services.• Collaborate with Global Mobility for visa renewals.• Update and document business processes for accuracy and consistency. HR Business Partner/Office Coordinator Services:• Maintain accurate and timely data from HRBP; reconcile and update as required.• Provide administrative support for the employee lifecycle.• Advise managers and employees on HR policies and procedures.• Manage local benefits administration and awareness.• Welcome visitors and new hires.• Support COEs with local team documentation and benefits information.• Assist local team members with ESC management and language limitations.• Collect, research, and analyse data for assigned projects, making recommendations.• Ensure office operations are efficient and support local leadership s business needs.• Manage compliance requirements and support non-HR audits, as necessary. Competencies / Skills / Knowledge:• Excellent verbal, written, and interpersonal communication skills.• Ability to inspire confidence and drive clarity, alignment, and accountability.• Full working knowledge of HR legislation/employment law, principles, policies, and procedures.• Strong customer service orientation with high integrity and confidentiality.• Independent problem-solving skills using well-defined HR policies and procedures.• Ability to prioritize workload and meet objectives within allocated timelines.
