Job DescriptionDUTIES AND RESPONSIBILITIES for Foreign Approvals and POCs He will be responsible for: Responsible for planning, organizing, and overseeing projects from initiation to completion. Coordinate project activities, including scheduling, budgeting, and resource allocation, and submit to QA and SMS Sr. Manager, Facilitate communication among team members, stakeholders, and other relevant parties, liaise with other departments and handle communication flow within the organization. Plan and execute conferences, or meetings. Assist in managing day-to-day administrative tasks. Organize and coordinate training programs for employees. Implement and coordinate safety programs in the workplace. Ensure compliance with safety regulations and policies. Ensure that project targets are met. Documentation aspects2.1 Maintenance, Engineering, SMS and Quality Forms creation/amendmentsCreate/amend and finalize forms and Quality Departments as per their requirements.Personal Company... Authorization for CRS and Non-CRS staffPAC Log of RevisionAuthorization Stamp RegisterTraining Evaluation FormUpload latest form revisions in SAWA and notify end users Updates regularly the list of forms with the current revision and date in RJM-Index and RJQ-IndexPrepare all the applications and collect all the required documents before presenting them to the QA/SMS Sr. Manager2.2 Policies and Procedures Manual of Maintenance and Quality for foreign approvalsManages the Quality Policy and Procedures Manual.Create / edit any Quality Temporary Revision as required. Upload new procedure in SAWA and send notification to all concerned.2.3 Monitoring and controlling of Qualifications for Certifying & Non certifying staff (Planning, Engineering, Maintenance, Logistics, QA) Coordinate for the required training (HF, FTS, EWIS, etc..) in order to renew or apply for the company authorization and as per the requirement of the standardEnsure that all have been trained and completed the mandatory trainings before submitting the application to QA for the authorizationsPlan and coordinate the competence assessment of EngineersEnsure that certifying and non-certifying staff are properly qualified with appropriate training recordsRevise and issue a new/amended PAC to all Stamp Holders during initial, renewal and re-instatement of company authorizationsRevise, update and maintain the List of current Authorized Stamp HoldersRevise, update and maintain the Certifying Staff Authorizations list if there’s any changes or any additional privileges for the LAEsEnsures that all information are accurate and updated as per their latest company authorizations.Maintains and update the soft copy files of LAEs, Planning, Engineering, QA, Receiving Inspector staffs and External Auditors and currently monitoring the expiry dates of their mandatory certificates and licenses such as Human Factors, Fuel Tank Safety, Electrical Wiring Interconnection System, Licenses, etc. in our QA shared folder and Q-PulseEnsure that all certificates and licenses are valid and up to date Audit and SMS dutiesEngage with the Royal Jet internal and external auditors (External Auditors, third party audits) as scheduled. Communicate internal audit schedule to respective parties. For external audits, provide the required records, training certificates etc. Perform audits as required, Ops, SMS and Engineering Create/amend and finalize forms and audit checklists. Managing the SMS reporting scheme and occurrence in relation to SMAR CAA. Drug and Alcohol Random TestingWhen required, assists QAOPS Manager during Random Testing.Assist to maintain testing schedule and records. Training CoordinatorCoordinates with the Training Provider regarding the training requirements (Quotations, approval of the facility, evaluation questionnaire, training syllabus) for all Maintenance and Engineering staff (LAEs, Technician, and also initial training for new staff)Assists the Quality and coordinate with other departments for the approval of Training organization as part of the selection procedureMaintaining accurate records of all aspects of trainingScrutinize the training documents to meet the Royal Jet’s minimum requirements for the new / existing Engineers seeking to work as Certifying staff with Royal Jet.Booking and coordinating Quality Assurance Induction and Company procedures training.
