Every year JetBrains participates in many IT conferences worldwide, ranging from small community events with 200–300 attendees to huge trade shows with thousands of visitors.

We are looking for an experienced event manager to strengthen JetBrains’ presence at various exhibitions and conferences. You will be responsible for overseeing all aspects of event participation, such as planning, organizing, managing budgets, negotiating contracts, and coordinating with internal stakeholders, event organizers, and vendors, as well as conducting the event and reporting on its success. You will collaborate closely with people from many different JetBrains teams, such as Marketing, Sales, Developer Advocates, Design, Procurement, Legal, and various product teams.

As part of our team, you will:
• Plan in-person events from start to finish... managing all aspects of event coordination and overseeing all deadlines, including contract negotiations, business travel and accommodations, staffing and scheduling of booth duties, arranging booth activities, design and production of event materials and digital content, etc.
• Ensure that all logistical details including booth setup, swag delivery, transportation, catering, and other special needs for events are planned effectively, executed well, and kept within budget.
• Set, communicate, and maintain timelines and priorities on every project.
• Coordinate operations to ensure a successful event and proactively resolve any problems to guarantee that the event runs smoothly.
• Establish and maintain effective working relationships with internal stakeholders.
• Provide excellent service to internal clients and stakeholders, ensuring quality delivery.
• Source and negotiate with vendors, venues, and suppliers to ensure favorable terms, and effectively manage vendor relationships and communications.
• Handle administrative tasks such as budget tracking, reporting, and following company finance and legal review procedures regarding event participation.
• Analyze event success, prepare post-event reports in a timely manner, handle retrospectives, evaluate event performance, and gather attendee feedback for improvements.
• Provide onsite support at trade shows and events where needed (approximately 1–2 business trips per year).
• Explore new event technologies and trends to enhance the attendee experience.
• Participate in team meetings and contribute to housekeeping and internal process improvements.

Requirements:
• 5+ years of experience as an event manager, preferably in the management of trade shows or expos.
• General knowledge of trade show best practices and standards.
• Excellent project management skills and the ability to manage complex timelines and multiple projects.
• Demonstrated success in coordinating cross-functional teams to deliver on projects.
• Solid experience in developing budgets and meeting budget goals.
• Excellent time management skills and the ability to prioritize tasks in a multi-task, multi-project environment.
• The ability to work in a fast-paced, dynamic environment with competing priorities and tight deadlines, easily adapting to last-minute changes.
• Fluency in spoken and written English (upper-intermediate or advanced level).
• Experience and proficiency with project management tools (we use YouTrack, Notion, and Miro) and similar software.
• Outstanding verbal and written communication and negotiation skills.
• A keen eye for detail.
• A knack for problem-solving.
• The ability to innovate and bring fresh perspectives and creative ideas to your events.
• The ability and desire to work independently and effectively in a distributed team without direct supervision
