Facilities Manager

Job Description

Reports to: General Manager / Director

Terms: Full time 40 hours per week, excluding lunch break,

Salary: DOE

Location: Lanserhof at The Arts Club, 17-18 Dover Street, London


Lanserhof at The Arts Club is the ultimate medical and gym facility in London, enabling both members of London’s premier private members club and clients of Lanserhof direct access to some of the world’s foremost medical experts and cutting-edge treatments. The medical facility is led by Lanserhof's multi-award-winning team of Doctors and health professionals.


You will be responsible for the overall management of the facilities, building, maintenance and equipment, reporting into Senior Management. You will provide a timely response and solutions to all maintenance issues reported throughout the building. Be responsible for ensuring appropriate contracts are in place and service levels are delivered to company standards. You will manage the day to... day health and safety requirements and housekeeping services, whilst adhering to current legislation at all times.


· To ensure the smooth running of the Lanserhof site

· To achieve high operating standards consistent with the corporate values and objectives

· To ensure Lanserhof at the Arts Club is fire compliant and make sure water testing is performed on a regular basis to comply with CQC regulation

· To ensure Health and Safety checks are performed on a regular basis and liaise with contractors of equipment of Lanserhof at the Arts Club

· To ensure compliance with relevant and current legislation at all times whilst at work

· To order, store and maintain sufficient stock to supply Lanserhof at The Arts Club with the necessary resources to operate effectively

· To manage and support the Housekeeping team to achieve continuous improvement within the department, both on a personal level and for the function as a whole.

Main Duties at Lanserhof:

· Put in place Planned Preventive Maintenance (PPM), review and update as required on a regular basis

· Ensure that basic facilities, such as water and heating, are well-maintained

· Manage budgets and ensure cost-effectiveness

· Ensure facilities meet government regulations and environmental, health and security standards

· To advise business on increasing energy efficiency and cost-effectiveness

· Oversee building projects, renovations or refurbishments

· Outsource, oversee contracts and contractor performance on site

· Investigate complaints regarding housekeeping service and facility management and take corrective action

· Check maintenance standards and make recommendations to improve services

· Responsible for all health and safety on site

· Be the qualified health and safety officer for Lanserhof (Complete required training)

· Deliver training to staff e.g. fire safety training and health & safety protocols

· Be responsible for General Building, Laundry and General Cleaning risk assessments

· Manage Maintenance contracts for all of the medical and non-medical equipment (MRI, Cryo Chamber, Lift, USM etc.) on site


. Adjust functional parts of devices and control instruments, using hand tools, levels, plumb bobs, and straightedges.

. Align and balance new equipment after installation.

. Assemble, install and/or repair wiring, electrical and electronic components, pipe systems and plumbing, machinery and equipment.

. Diagnose mechanical problems and determine how to correct them, checking blueprints, repair manuals, and parts catalogues as necessary.

. Inspect, operate, and test machinery and equipment in order to diagnose machine malfunctions.

. Liaise closely with the General Manager/ Director and promptly report damages to the main structural fabric and other site wide services and monitor the timely repair of faults and reinstatement of services.

. Maintain, repair or replace specialised equipment throughout Lanserhof at The Arts Club.

. Co-ordinate contractors to paint and repair roofs, doors, floors, woodwork, plaster, drywall, and other parts of building structures.

. Perform routine preventive maintenance to ensure that machines continue to run smoothly, building systems operate efficiently, and the physical condition of buildings does not deteriorate.

. Plan and lay out repair work using diagrams, drawings, blueprints, maintenance manuals, and schematic diagrams.

Estimate repair costs or otherwise, to obtain competitive quotations for work needed.

. Monitor and review the effectiveness of maintenance contracts.

. Order parts, supplies, and equipment from catalogues and suppliers, or obtain them from store rooms.

. Record maintenance and repair work performed and the costs of the work.

. To monitor heating and lighting within Lanserhof at The Arts Club and to reduce consumption where possible.

. Manage repair work for clinic areas include 'smart repair scheduling' such as overnight repairs where clinic occupancy is high or business demand.

. To update departmental risk assessment(s) in accordance with changes to standard operating procedures and legal requirements.

. To comply with statutory and contractual requirements regarding the work place such as employment law, health and safety, hygiene, fire prevention and to ensure that a skills audit is regularly undertaken to determine compliance in these areas, updating the Director of Engineering or Chief Engineer at the Arts Club or in their absence the Chief Engineer as necessary.

Requirements for the Role

Essential Experience and Skills

6-10 Years’ experience within Facilities Maintenance and Management

Qualification in Health and Safety or Facilities Management or related qualification.

Sound knowledge of government regulations, environmental, health and safety and fire legislation.

Negotiation skills to negotiate contracts and manage projects, building projects, renovations or refurbishments

Ability to manage and lead a team

Ability to understand complex electrical, mechanical and automation machines.

Good verbal and written communication

Sound problem-solving skills
