QDX Technologies is seeking a highly skilled Executive Assistant to provide comprehensive support to our CEO and Head of Research. The ideal candidate will be a proactive communicator, well-organized, and possess a keen attention to detail. This role demands flexibility, the ability to manage multiple tasks efficiently, and the capacity to maintain confidentiality in managing high-level operations.

• Calendar Management: Manage extensive calendars for executives across multiple time zones.
• Meeting Coordination: Coordinate and prepare for meetings, including logistics, document preparation, and communication with relevant parties.
• Email Handling: Handle email prioritization and communication on behalf of executives as needed.
• Confidentiality: Uphold professionalism and strict confidentiality with all materials and communications.
• Point of Contact: Serve as the primary point of contact for both internal and external stakeholders.
• Internal... Communications: Oversee the distribution of internal communications and manage team distribution lists.
• Financial Administration: Handle business expenses, personal invoices, and related financial administration.
• Document Preparation: Support in preparing documents, grants, and presentations.
• Meeting Documentation: Draft slides, meeting notes, and documents for executives.
• Travel Arrangements: Arrange comprehensive travel plans, including flights, accommodations, and local requirements.
• Reservations and Appointments: Manage reservations, meals, and appointments as required.

• Education: Bachelor's degree or equivalent experience.
• Language Skills: Fluent in English with excellent written and verbal communication skills.
• Experience: A minimum of 3 years' experience as an Executive Assistant or Personal Assistant, preferably within a technology company in an international setting.
• Environment Adaptability: Capable of thriving in a high-pressure environment.
• Technical Proficiency: Familiarity with startup technologies such as Slack, Google Suite, Zoom, WeChat, WhatsApp, etc.
• Multi-tasking: Experience in managing multiple priorities, administrative coordination, and logistics.
• Organizational Skills: Well-organized, detail-oriented, and ability to multi-task with great follow-up skills.
