As an Office Coordinator, you will be the first point of contact for our company, serving existing staff, new starters, and visitors. Your primary role will be to ensure the smooth operation of our office by offering administrative support across the organization. Key responsibilities include managing cleaning services, maintaining stock and supplies, coordinating with suppliers & vendors and assisting with internal troubleshooting. You will also greet and attend to guests visiting our EF office.

A considerable part of the job is also to be involved in preboarding and onboarding international new staff throughout their visa process.

With our ambitious plans to quadruple the size of our Budapest office, numerous career growth opportunities will be available. You will report directly to the Vice President.

Responsibilities:
• Manage office entry and exit procedures
• Order and track office supplies (stationery, snacks, coffee, etc.)
• Maintain and manage office events (e.g... after-work events, Christmas parties)
• Greet and direct visitors and new staff
• Ensure the office is tidy and manage vendor relationships (e.g., cleaning company)
• Sort and distribute mail/deliveries
• Assign seating and onboard new staff, including ordering IT equipment
• Assist with preboarding and visa processes for foreign staff through a third-party agency
• Support the Management team with administrative tasks

Requirements:
• 2 years of proven work experience as an Office Admin/Coordinator, Receptionist, Front Office Representative, or similar role
• Entrepreneurial mindset with the ability to build processes and solve problems as they arise
• Positive and optimistic personality
• Friendly and welcoming demeanor
• Very good English
• Excellent organizational skills

Note: This role requires wearing multiple hats in a fast-paced, international environment. All employees are in-office 5 days a week
