Job Description:
Parsons is looking for an amazingly talented Coordinator & Committee Secretary to join our team! In this role you will get to oversee the planning, organization, and execution of various activities within an organization or department. Responsibilities may include managing schedules, coordinating meetings and events, liaising with stakeholders, and ensuring smooth communication between teams.
A Committee Secretary, on the other hand, plays a crucial role in supporting committees by managing agendas, taking minutes during meetings, maintaining records and documents, and facilitating communication between committee members.
What You'll Be Doing:
Planning and Organization: Develop and implement plans for projects, events, or activities within the organization.
Scheduling: Coordinate and manage schedules for meetings, appointments, and deadlines.
Communication: Facilitate communication between different teams, departments, or external stakeholders.
Resource Management... Allocate resources effectively to support project or activity requirements.
Documentation: Maintain accurate records, reports, and documentation related to projects or activities.
Problem-solving: Address any issues or challenges that arise during project execution and find suitable solutions.
Team Support: Provide support to team members as needed, ensuring everyone has the necessary resources to succeed.
Evaluation: Evaluate project outcomes or event success, gather feedback, and implement improvements for future activities.
Meeting Management: Organize and schedule committee meetings, prepare agendas, and distribute meeting materials.
Minute Taking: Record accurate minutes during meetings, capturing discussions, decisions, and action items.
Documentation Management: Maintain and organize committee documents, records, and archives.
Communication Facilitation: Facilitate communication between committee members, stakeholders, and other relevant parties.
Follow-up: Follow up on action items and decisions made during meetings, ensuring timely completion.
Compliance: Ensure committee activities comply with organizational policies, regulations, and guidelines.
Support: Provide administrative support to committee members, including logistical arrangements and coordination of resources.
Reporting: Prepare and distribute reports or summaries of committee activities, progress, and outcomes
What Required Skills You'll Bring:
Bachelors (or equivalent) is required.
Minimum 8+ years of relevant work experience.
Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel.
Ability to analyze and revise operating practices to improve efficiency.
Detail oriented and comfortable working in a fast-paced office environment
Exceptional oral and written communication skills
Superior organization skills and dedication to completing projects in a timely manner.
