Job description

The ideal candidate will have Responsibilities such as (not limited to):
• Acts as Secretary to the Management and takes dictation and instructions from the Management;
• Receives all papers and documents from the departments for the notation, signature, and information for appropriate action by the Management;
• Routes necessary documents assigned to the concerned department member for its appropriate action;
• Arranges appointments and meetings to be attended by the Management, inside and outside the office premises;
• Receives all incoming calls, visitors, and guests of the Management;
• Performs office and general administrative services and works for the Management;
• Arranges, files and documents;
• Answers telephone calls and responds to customers’ / clients’ inquiries and transfers calls;
• Welcomes walk-in costumers/clients and responds to their inquiries;
• Open initial files for new customers along with the necessary procedures;
• Handles and records... meeting rooms time schedules;
• Handles all members calendars and meetings;
• Handles address records, telephone switchboards and extensions;
• Organize meeting rooms and manage catering services;
• Tracks and monitors office supplies and stationaries;
• Maintain reception security by following safety procedures and controlling visitors’ access via the reception desk (monitor logbook, issue visitor badges)
• Hosts clients and guests in waiting areas;
• Maintain a safe, clean, and tidy reception area with procedures by having the necessary stationery and material (e.g. pens, forms, and brochures);
• Arrange travel and accommodations for trips;
• Perform other clerical receptionist duties such as filing and photocopying;
• Contributes to team effort by accomplishing related results as may be deemed necessary;
• Performs other related duties as may be deemed necessary.

Qualifications
• High school diploma or relevant work experience
• Ability to maintain a positive attitude
• Applicant should be fluent in Arabic & English, both reading and writing.
