We're looking for a dynamic "Executive Assistant" with an enhanced ability to multitask, excellent time management skills, professional discretion and people skills. Great candidates for this role should also have experience in an administrative support or personal assistance with high level of discretion and professional approach to handle crucial operations.

The objective is to assist in managing the time of the Board as the meaning of planning schedules in order to prioritize workload and personal tasks to optimize productivity and effectiveness.

Key Responsibilities

· Manage and maintain BOD’s calendar, including scheduling appointments, meetings, and travel arrangements.

· Act as the primary contact between Board and relevant parties by screening and prioritizing crucial tasks and list of immediate actions.

· Prepare and organize documents, presentations, and reports for meetings by providing further assistance.

· Handle confidential and sensitive... information with discretion and professionalism.

· Conduct research and compile data to support decision-making processes.

· Assist in personal tasks such as managing household staff, coordinating family events, and handling personal duties.

· Manage expenses, invoices, and financial records by ensuring accuracy and accountability and timely processing.

· Anticipate needs and proactively address issues to streamline operations in order to increase productivity.

· Coordinate special projects and events as assigned.

· Excellent organizational and time-management skills.

· Strong verbal and written communication.

· Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

· Discretion and trustworthiness as well as handling confidential information.

· Ability to multitask and prioritize tasks effectively in a fast-paced environment.

· Attention to detail and accuracy in all operational cycle.

· Adaptability and flexibility in order to respond to changing demands and priorities.

· Proactive mindset of problem-solving skills and resourcefulness.

· Professional demeanor and interpersonal skills for an effective interaction on all levels including executives, managers, middle managers and the rest of the employees.

· Knowledge of relevant software and tools to effectively manage calendar, travel planning, and document preparation (e.g., Google Calendar, Expensify, Dropbox).

· Maintain important administrative deliverables by leading and managing business or clients.

· Act as a true business partner to Board by a self-sufficient attitude to address problems in advance and determine the best solutions to deploy. Having a presentable and professional appearance and attitude to successfully represent the company.

· Building a multitask mindset by prioritizing the tasks for a continuous evolving and analyzing what is currently costing time and money to prevent conflicts as well as implementing time-saving strategies where possible.
