Are you a proactive, organized, and detail-oriented individual looking to join a dynamic team? Viva Naturals is seeking an Executive Assistant to provide comprehensive support... to our management team. As the right hand to our executives, you'll play a crucial role in ensuring smooth operations and effective communication within the company.

• Provide administrative and clerical support, including data entry, document preparation, and scheduling.
• Manage donations and administrative tasks for our Foundation of Light charity, ensuring compliance with regulations.
• Assist with personal tasks such as appointment booking, research, and household coordination.
• Maintain confidentiality and professionalism in all interactions and tasks.
• Coordinate travel arrangements, including flights, accommodations, and transportation, for executives and other team members.
• Prepare and distribute meeting agendas, minutes, and other materials as needed.
• Act as a liaison between executives and internal/external stakeholders, ensuring clear communication and timely responses.
• Conduct research and compile data to support decision-making processes.
• Assist in project management tasks, such as tracking deadlines, coordinating meetings, and managing project documentation.
• Anticipate the needs of executives and proactively address any issues or challenges that may arise.
• Perform bookkeeping tasks, including tracking expenses, processing invoices, and reconciling accounts.
• Maintain financial records and ensure all bookkeeping activities are accurate and up-to-date.
• Assist with budget preparation and financial reporting as needed.

• Bachelor's degree or equivalent experience in a relevant field.
• Minimum of 3 years of experience in administrative or executive support roles.
• Strong proficiency in technology, including Asana, Google Drive, Microsoft Office Suite, and other relevant software.
• Excellent organizational skills with the ability to manage multiple tasks and priorities simultaneously.
• Exceptional communication skills, both written and verbal, with a high level of professionalism.
• Ability to work independently and take initiative, with a proactive and solution-oriented mindset.
• Experience in personal management tasks, including appointment scheduling, travel coordination, and household management, is preferred.
• Strong attention to detail and accuracy in all tasks.
• Proficiency in bookkeeping software and familiarity with accounting principles.
• Proficiency in bookkeeping software, such as QuickBooks, Xero, and FreshBooks.
• Experience in financial record-keeping and budget management is a plus.

Compensation & Benefits:
• 4 weeks of Paid Time Off per year
