Job Title: Executive Personal Assistant (Remote)

Location: Remote (Philippines) (working hours will be Mountain Standard Time, Boise, Idaho, USA)

Overview:

We are seeking a highly organized and proactive Executive Personal Assistant to support the Owner of a prominent law firm. The ideal candidate will assist with tasks and activities that allow the Owner to focus on law firm responsibilities.

Reporting Relationship:

The Executive Personal Assistant reports directly to the Owner of the law firm and coordinates closely with the Firm Administrator/Operations Manager to ensure coverage for the Owner’s business duties.

Authority:

The Executive Personal Assistant does not have authority within the law firm but has delegated authority concerning the Owner’s personal responsibilities.

Responsibilities:

Schedules & Arrangements:
• Maintain the Owner’s personal calendar and coordinate with the firm’s legal assistant to avoid conflicts.
• Organize office meetings and parties.
•... Schedule “get to know you” and “keep in touch” meetings with professional contacts and referral sources.
• Register for conferences and CLEs, and submit CLE certificates to the state bar.
• Handle all aspects of travel, including business trips and family vacations (airfare, car service, dinner reservations, activities).

Correspondence & Communication:
• Triage emails per SOP/system and file records electronically.
• Screen calls and ensure timely responses to communications.

Office Assistance:
• Manage projects.
• Order office supplies.
• Attend C-Suite meetings, take notes, keep the Owner on task, and help calendar tasks.
• Transcribe meeting notes.
• Gather and review reports from the Administrator and Bookkeeper.
• Address simple office IT issues.
• Cover intake calls when the intake specialist/receptionist is unavailable.

Office Marketing Assistance:
• Organize networking contacts and set up a system to monitor contact dates.
• Send thank you cards and “just a note” cards.
• Prepare GAS call lists and referral lists for clients.
• Assist with making GAS calls, referral calls, and handling client customer care issues.

CMS/CRM:
• Clean up projects and update contacts.

Creation of Policies and Procedures:
• Office procurement, mail services, answering and triaging calls, communication (internal and external), email policy, calendaring and deadline policy, remote and chat policy.

Personal Calendar and Tasks:
• Schedule personal appointments (doctor, hair, dinner reservations).
• Manage, track, and log expenses and receipts.
• Perform online grocery shopping for household items and meals.
• Coordinate dinner parties and other events.

Important Duties:
• Remind the Owner of tasks and ideas.
• Fill in details for the Owner’s big ideas.
• Handle tasks that are sketched without a lot of detail.
• Make calls the Owner prefers not to make.

Qualifications:
• Proven experience as an Executive Personal Assistant or in a similar role.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal skills.
• Ability to work independently and handle confidential information with discretion.
• Proficient in MS Office and familiar with project management tools.
• Flexibility to handle a wide range of tasks.

Educational Qualifications:
• The ideal candidate will have either an MBA or a JD.

Job Type: Full-time

Pay: Php47,000.00 - Php70,000.00 per month
