• Schedule meetings and appointments and manage travel itineraries and travel with Visa systems
• Coordinate executive visits, including taking calls, responding to emails and interfacing with clients (at times)
• Prepare internal and external corporate documents for team members and industry partners.
• Maintain an organized filing system of paper and electronic documents.
• Uphold a strict level of confidentiality
• Develop and sustain a level of professionalism among staff and clientele.
• Build a trusted relationship with the wider Belux and France Belgium Luxembourg (FBL) team and leadership
• Pro-active preparation of documents ahead of key meetings
• Pro-active calendar management to ensure Country Manager is aware of key meetings ahead of time and ensure he is aware of any required preparation work
• Manage the daily administration and operations of the office
• Being the friendly and professional face of the Brussels office
• Manage the daily administration of the office... (mail distribution, telephone, visitors, catering, sourcing, order stationery and supplies…)
• Manage Purchase Order via Ariba: onboard suppliers, payments etc
• Establish and maintain filing records to ensure that all information is up to date
• Reports to the Country Manager of Belgium & Luxembourg

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

• Experience within a PA/EA role required
• Bilingual Dutch and/or French and English
• Adaptation to change management
• Discretion combined with professionalism in all communications
• Must be able to exercise good judgment regarding information which may be confidential
• Ability to operate effectively and efficiently in a challenging, fast-paced environment
• Customer service-focused with ability to work collaboratively with others
• Ability to multi-task and prioritize work with attention to detail.
• Ability to cope with stress on tight deadlines
• Solid planning, organizational and written and verbal communication skills
• Experience using Microsoft products including PowerPoint, Excel, Word and Outlook
• Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities

• Friendly and professional demeanor
