Facilities Manager

Key Components
• Through thoughtful space planning, collaboration, creativity, and overall enhanced workflow ensure that each square foot contributes to operational efficiency.
• Prepare and plan for emergencies and property business continuity dealing with emergencies as they arise and plan for the future by forecasting the services upcoming needs and requirements.
• Establish a central electronic record of all property, with each customer listed under that property. Complete building administration and maintenance related report writing.

Key Responsibilities

Ensuring that basic properties are well-maintained and conducting proactive maintenance.

Coordinate maintenance schedules, so that the properties operate... as they should on a daily basis by completing appropriate regular testing and inspections and confirming repairs and maintenance are completed effectively, leading to the smooth and safe operation of all services. Working with the Office and Administration Manager to source and oversee contracts and service providers for all building maintenance related functions. Ensure renovations are scheduled and preventive measures implemented and that urgent repairs are promptly attended to.

Managing Space

Effective space management is essential for optimising the use of HoEM services. Evaluate and enhance space utilisation, while considering the requirements of the people using the space, guaranteeing that each square foot contributes to operational efficiency. This includes planning for growth or changes.

Ensuring Compliance with Health and Safety Standards and other Regulations to ensure that they meet Legal and EHS (environment, health, safety) Requirements.

Maintain strict adherence to health and safety regulations through; establishing a safe and secure environment, taking proactive steps to mitigate potential hazards and prioritise the well-being of employees. This includes emergency preparedness, fire safety measures, and adherence to regulatory standards.

Security

Ensuring the safety and protection of the services, its occupants, and its valuable assets through the implementation and management of security procedures and systems.

Managing Utilities

Monitoring and ensuring the efficient use of utilities such as electricity, water, and heating, while implementing measures to reduce energy consumption and related costs.

Contract and Lease Management of Properties.

Ensure all contract and lease dates are logged, including contract review dates, individual property risk register, strategic planning/developments, repairs and adaptations.

Working with external service providers, contractors, and suppliers to provide a range of services related to the building.

Effective Budgeting and Efficient Financial Resource Management

Overseeing measures to improve the efficiency and cost-effectiveness of the running of the services. Working with head of operations and operations managers to manage property related budgets.

Customer Property Relations

Act as a bridge between the building management and customers. Liaise with the head of operations and operations managers to handle customer concerns, manage move-ins and move-outs, and make sure that customer spaces meet the necessary standards.

• Excellent communication and negotiation skills

Weekly hours of work 24 (However this may fluctuate in line with the needs of the role)
