Company Overview

Platinum Pilates & Physio is dedicated to enhancing the health and well-being of our clients through group Reformer Pilates and personalized and effective Physiotherapy treatment plans. Our integrated approach combines Pilates techniques with Physiotherapy to provide comprehensive care and optimal results. We are seeking a highly motivated and organized full-time Office Manager to join our team and oversee the smooth operation of our head office and clinics.

Job Summary

As the Office Manager, you will be responsible for the efficient and effective management of head office and physio clinic operations, including overseeing bookings, appointments, office management, and ensuring exceptional customer service. You will play a vital role in maintaining high standards of patient & client care while fostering a positive and supportive environment for both clients and staff.

Key Responsibilities

Booking and Appointment Management:
• Coordinate and manage client bookings... and appointments, ensuring efficient scheduling and utilization of clinic resources.
• Monitor appointment schedules to minimize downtime and maximize therapist productivity.
• Maintain accurate records of appointments, cancellations, and rescheduling.

Office Management:
• Oversee the day-to-day administrative functions of the head office, including the line management of administration staff, handling inquiries, and maintaining a tidy and organized workspace.
• Procure and manage inventory of clinic & office supplies and equipment.
• Ensure compliance with health and safety regulations and clinic policies.

Customer Service:
• Provide exceptional customer service to clients and patients, addressing queries, concerns, and feedback in a timely and professional manner.
• Act as a liaison between clients and therapists, ensuring clear communication and understanding of treatment plans and goals.
• Resolve any issues or conflicts that may arise with clients or staff, seeking appropriate solutions to maintain positive relationships.

Staff Support:
• Support therapists and teachers in delivering high-quality care to clients, offering guidance and assistance as needed.
• Coordinate staff schedules and assignments to ensure adequate coverage and optimal patient care.
• Facilitate training sessions and workshops to enhance staff skills and knowledge in areas such as customer service, clinic procedures, and patient management.

Quality Assurance:
• Monitor and evaluate clinic operations to identify areas for improvement and implement strategies to enhance efficiency and effectiveness.
• Gather and analyse patient feedback and satisfaction surveys to drive continuous improvement initiatives.

Qualifications

· A qualification in healthcare administration, business management, or a related field (preferred).

· Prior experience in a leisure, clinical or healthcare setting, with a focus on administration and customer service.

· Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.

· Excellent interpersonal and communication skills, with a customer-centric approach.

· High proficiency in computer applications, including appointment scheduling software and Microsoft Office suite.

· Knowledge of healthcare & wellness regulations and compliance standards.

· Leadership qualities with the ability to motivate and inspire a team.
