Like all roles at Textile Exchange, this role will be primarily home-based; Textile Exchange is a US-based but remote-working organization with a global team. Your key colleague will be mainly based in the UK. 

Job Summary

This is an excellent opportunity to join a mission-driven organization and support its CEO. In this role, you will work closely with the Chief of Staff, who acts as the Board Liaison and collaborates directly with the CEO. The Chief of Staff is responsible for fostering synergy within the organization, particularly by enhancing connectivity across the Senior Leadership Team. Their efforts are aimed at streamlining time management, information flow, and decision-making processes, thereby allowing the CEO to concentrate on the organization’s strategy and growth. In your role, you will be expected to work closely with the Chief of Staff to ensure that activities and plans are consistently aligned.

In this role, you will provide comprehensive organizational support to the CEO, including managing the diary and schedule, organizing the inbox, drafting emails, arranging travel, creating itineraries, and compiling and submitting expense reports. You will also ensure that the CEO is well-prepared for meetings. Given that we are a global organization, this position is ideal for someone who is adaptable and willing to work across various time zones.

This role requires a candidate with a positive attitude, who is a self-starter and a skilled problem solver. The ideal candidate should have a keen interest in sustainability and the work of Textile Exchange and be enthusiastic about working closely with our CEO.

This role reports to the CEO with a dotted line to our Chief of Staff.

Core Responsibilities
• Working efficiently and seamlessly to support the CEO.
• Inbox support and correspondence - Sorting incoming emails by filing, and prioritizing, whilst ensuring strict confidentiality.
• Diary management - prioritizing and rescheduling as necessary.
• Management of all travel arrangements - Including transport, accommodation, itineraries, and visas when required.
• Expense management - reconcile monthly corporate card charges and reimbursements as required.
• Proactively ensure adequate meeting preparation, including relevant documents and briefings.
• Regularly check Salesforce to help the CEO prepare for upcoming calls, as well as add notes post-calls.
• Record and disseminate notes and follow-up actions when required.
• Support with presentation creation, formatting, proof-reading as required.
• Know ‘who’ across the organization can provide you with critical information, and support as needed.
• Liaise with internal team members and external partners on behalf of the CEO.
• Work closely with the Chief of Staff and Assistants to arrange and execute team meets, virtual and in-person.
• Work proactively to give key reminders of upcoming activities and support as required.
• Get involved with projects and provide support/research on an ad-hoc basis.
• Be resourceful and able to work autonomously across a complex organizational structure.
• Responsible for ad-hoc requests as they arise, things such as getting flowers sent to the team for celebrations, supporting the CEO with personal travel needs, etc.
• Willing to travel for key meetings and support the CEO which may include running errands, getting drinks and food, etc.

Experience And Qualifications
• Previous experience as an Assistant and supporting executives.
• Experience working within a global organization, scheduling across multiple time zones.
• Proficient computer skills, including Microsoft Excel, PowerPoint, Word, Teams, and the ability to quickly learn new systems.
• Experience with Salesforce, or similar systems is preferred.
• A driven individual with a strong work ethic, and initiative, able to hit the ground running.
• The ability to stay calm under pressure, whilst maintaining a sense of urgency and efficiency when appropriate.
• Organized with an excellent eye for detail and a passion for problem-solving.
• Literate, with excellent written and grammatical skills in English.
• Strong interpersonal skills, with the understanding of discretion and confidentiality.
• Willing to travel domestically for meetings and internationally for team meets when required.
• Happy to work across different time zones (within reason, it is not expected that you will work extremely long hours).

Employment Package
• Reports to: CEO
• Full Time Position, 40 Hours a Week
• Location: Virtual/Remote, UK Preferred
• Salary Range: $46,000 - $58,000 USD
• To be filled as soon as possible (start date to be agreed between both parties).

• Our offers for salary and benefits are dependent on the region of the final candidate. We post most positions based on a US-based Team member, but final offers are made in alignment with the final candidate's permanent residence and in line with Textile Exchange's regional employment package.
