The Role:
The temporary Office Manager will work up to 6 months to provide Finance, Human Resources, Operations, and Program support to the Centers office in Bogota, Colombia. The Office Manager will report to the Program Manager in LAC, who is based in Bogota. The Office Manager will work closely with Center teams of Finance, Administration and Human Resources.The position will be based in the CentersBogot office.Responsibilities:
Financial Management Manage the accounting processes and procedures for the office in accordance with GAAP and local accounting policies, including entering all financial transactions into the Centers accounting database, reconciling bank account(s) on a monthly basis, reconciling staff reimbursements and travel advances, and preparing monthly financial reports for the office from the accounting database when necessary.Custody of offices petty cash account and its reconciliation.Establish and maintain relationships with local vendors, process monthly... invoices, facilitate the execution of contracts and conduct an annual assessment of needs and services.Serve as the primary liaison with the local payroll firm on matters related to accounting and payroll and initiate the monthly payroll for the office.Monitor the offices cash flow and review budgeted to actual expenditures on a monthly basis to ensure that spending is in line with office budget allocations. Prepare the monthly replenishment request form.Coordinate the annual development and quarterly reforecast of the offices annual budget using the Centers centralized budgeting database.Facilitate and assist with adherence to local statutory compliance requirements, including vendor and employee tax withholdings, annual tax filings, etc.Develop and maintain document filing systems in accordance with Center policies (e.g., online via the SharePoint intranet with original documents maintained locally). Human Resources Support In conjunction with the Human Resources Manager, work with the local payroll company toensure that new hires are properly added to the office payroll and affiliated with the relevant social benefit organizations.Assist with compensation and benefits administration, and employee safety and welfare initiatives.Provide support during the hiring process for new employees and interns.Oversee onboarding and off:
boarding activities for new and departing staff.Coordinate with the Centers local legal counsel regarding legal matters related to taxes, local registration, Human Resources, and obtaining visas for international staff.Research visa requirements and coordinate the visa procurement process when necessary. Operations Oversee all day:

day administrative operations for the office.In coordination with the Program Manager, ensure a constant flow of communication between the Bogota and New York offices, relaying information on pertinent issues as they arise.In coordination with the Program Manager, develop relationships with other International NGOs based in Bogota in order to assess best practices for the smooth functioning of the office.In coordination with the Program Manager, serve as the primary liaison with New York on matters related to office registration, including annual compliance obligations.In coordination with the Program Manager and external accounting company, facilitate the Centers affiliation with the Chamber of Commerce Registry and ensure that the Center meets its annual compliance obligations.Keep the Pro Bono LAC tracker for operational matters updated.Responsible for completing the implementation of Health and Safety System mandatory under Colombian laws and keep it updated based on laws changes or new regulations applicable to Bogotas office.Serve as the IT point person for the Bogota office:
