In addition to the listed duties below, the School Secretary/ Administrator will undertake other duties pertaining to the role as may be decided by the Principal and/or the Board of Management and/or as may be dictated by the needs of the school. The School Secretary/ Administrator may be required to undergo training as may be dictated by the needs of the school.

The duties listed are not intended to be exhaustive or exclusive. Such duties as are appropriate to the position as may be assigned from time to time and will include but are not limited to:
• Support for Principal, Deputy Principals and all members of the school community.
• Working as part of a professional team of teaching and non-teaching staff in a busy and positive environment.
• Working closely with the Principal and Board of Management to ensure the smooth running of the school including administrative and financial tasks and varied related office duties.
• Maintaining confidentiality at all times.
• Enjoy working... and supporting students in their school life and daily interactions.
• Committing to the school’s ethos and values.

Front Office duties:
• Acting as the first point of contact for the school through reception, phone and electronic communication
• Dealing with parental queries.
• Email/ Text/ notifications when necessary.

Financial Management:
• Assisting with the schools financial recording.
• Safe keeping and recording of any financial payments.
• Ensure adherence to internal financial controls.
• Dealing with cash and cheque payments (handling, receipting, recording). Managing petty cash.
• Maintaining fees and monitoring payments via school systems.
• Assisting parents with any queries.

• Assisting admissions process for incoming First Years.
• Managing admissions process for students transferring from another secondary school.
• Maintaining accurate enrolment records and keeping the Dept of Education PPOD (Post Primary Online Database) up-to-date.
• Attendance - Manage inputting of late arrivals and absences via VSWare.
• Contact parents as necessary.

All general and office administrative duties.

• Highly effective IT skills
• A very high standard of written functional English
• Experience in Sage 50/ PPod/ VSWare OR evidence of experience in other key software management packages would be considered an advantage although training can be provided.
• First Aid Training or willingness to undertake same
• Experience in an office setting is desirable

Hours of work:
20 hours per week

Normal office hours are 8:30 am - 12:30 pm and 8:30 am – 4:30 pm Thursday & Friday

• In line with experience and reflecting the Salary Scale set out for School Secretaries in Circular Letter 38/2024

Garda Vetting:
Employment is subject to Garda Vetting Procedure and Compliance with all appropriate Child Protection and Department of Education and Skills guidelines will be required.
