Cooley (UK) LLP is seeking an Event Planning Coordinator to join the Marketing and Business Development team.

Position summary: The role, based in London, will be part of the Cooley global Event team; and will work seamlessly with the European Marketing team. The Event Planning Coordinator will support with planning, coordination and execution of all client-related, firm-hosted events, seminars, sponsorship opportunities and attorney speaking engagements. This role also includes working within event-related marketing systems, as well as event budgeting and reporting.

Position responsibilities: Coordinate, plan and manage all activities related to firm-hosted events and webinars. Specific responsibilities include:
• Work with full events team and other key constituents on event strategy, from pre-event planning to obtaining post-event feedback
• Identify and negotiate with appropriate off-site venues and vendors regarding all aspects of events, from food and décor to giveaways
• Work... closely with colleagues in other departments (catering, office services, IS, receptionists, etc.) to coordinate on-site event logistics
• Create and distribute event invitations, event list management, and RSVP tracking and reporting
• Create and manage event budgets
• Oversee on-site set-up and attendance
• Manage virtual events using Zoom
• Work with outside conference organisers to make arrangements, negotiate contracts, and ensure flawless execution
• Setup up and break down the firm’s booth at conferences and professionally representing Cooley at the booth during events
• Assist marketing team with the creation of presentation materials and other event-related collateral including post event follow-up mailings and other communications

Other:
• Prepare post-event analysis and reporting
• All other duties as assigned or required

Skills and experience:

Required:
• Previous proven experience working in a fast-paced events role
• Experience running a range of marketing events including virtual events; highly proficient in Zoom
• Excellent interpersonal skills, resilience, and confidence
• Following training, exhibit proficiency in Firm marketing systems software (e.g., CRM tool proficiency)
• Previous law firm or professional office setting with directly applicable marketing experience
• Available to work overtime, as required
• After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications

Preferred:
• Educated at degree level or equivalent in business, communication, marketing, or related field
• Experience in a professional services environment, with a working knowledge of professional services industries

• Ability to multi-task, problem solve, work well under pressure and coordinate sophisticated marketing programs with good results

• Strong analytic and research skills
• Ability to master the use of complex marketing systems and to train others on these systems
• Strong ability to function well as a team member and facilitator
• Exhibit high energy and genuine enthusiasm for law firm marketing activities and goals while maintaining a healthy, competitive spirit
• Excellent communication skills both written and verbal. Comprehensive, accurate note taking
• Ability to develop professional relationships with department members, attorneys and firm staff
