Job brief:

We are looking for an experienced Business Support Manager to oversee all business related activities including but not limited to logistics such as transport, events, adhoc administration etc. You will be in charge of maintaining the infrastructure safe and fully functional at all times. The ideal candidate will be well-organized and able to optimize resource utilisation while maximising operational efficiency and reducing costs. Leadership abilities and organisational efficiency can set you apart among our candidate pool.

Key Responsibilities:
• Procurement and Governance: connect with stakeholders to understand and facilitate the requirements across the company. Review Requests for proposals (RFP’s) in line with Company standards. Review and forecast business requirements and supplies, e.g. IT assists, stationary, etc.
• Budgeting and Financial Management: Prepare and manage the facilities budget, including forecasting and tracking expenses. Implement cost control... measures and identify opportunities for cost-saving initiatives while maintaining high-quality standards.
• Events Management and Logistics: Manage and oversee the operations of all events within the site in accordance with company standards. This include but not limited to visits from stakeholders, management, travel arrangements like transportation services, etc
• Vendor and Contractor Management: Manage relationships with vendors, contractors, and service providers. Negotiate contracts, evaluate vendor performance, and ensure the delivery of high-quality services within established budgets and timelines.
• Space Planning and Utilization: Collaborate with various stakeholders to assess space requirements, plan office layouts, and manage relocations, renovations, and expansions.
• Health, Safety and Environmental Compliance: Ensure compliance with health, safety, and environmental regulations and standards. Implement policies and procedures to mitigate risks and promote a safe working environment. Conduct regular inspections and audits to identify and address potential hazards.
• Sustainability Initiatives and Adhoc Projects: Drive sustainability initiatives and adhoc projects as proposed by management.
• Reporting and Documentation: Maintain and audit records and documentation related to contracts, including maintenance logs, repair history, and safety records etc. Prepare regular reports for senior management, highlighting key performance indicators, expenses, and projects.

Preferred Qualification & Experience:
• Bachelor's degree in Facilities Management, Commerce, Business Administration, or a related field(preferred)
• Minimum of 10 years of experience in facilities management, with progressive responsibility and leadership roles
• In-depth knowledge of facility management principles, best practices, and industry standards.

Skills & Competencies:
• Strong financial and business acumen and experience in budgeting, forecasting, and cost control, and Time management.
• Demonstrated ability to lead and develop teams, with excellent interpersonal and communication skills
• Proven experience in vendor and contractor management, including contract negotiation and performance evaluation and vendor relationship management.
• Extensive knowledge of building systems, maintenance procedures, and regulatory requirements
• Familiarity with sustainability practices and initiatives
• Proficient in using facilities management software and computer-aided facility management (CAFM) tools
